Position Summary Information Position PurposeThis position is open to current employees of Commonwealth University of Pennsylvania only.
This position has a flexible home campus to include Bloomsburg, Lock Haven, or Mansfield.
This position provides a broad range of administrative support to the Center for Access and Engagement. Programs within the Center for Access and Engagement includes Act 101, Emerging Scholars, the Basic Needs Shoppe, Board of Governors, Frederick Douglass Institute, and other retention focused programs.
Description of Duties- Review, evaluate, and respond to internal and external inquires pertaining to the Center for Access and Engagement. Coordinate, prepare and gather data for external funding sources, programmatic advisory boards, student and faculty/staff committees and on campus and off campus partners.
- Gather, input and maintain accurate student data to assist the Executive Director and Associate Director with reports to external funding sources. Ensure that procedures are followed for tracking of required student data and interact and communicate with representatives from external funding sources.
- Prepare information and correspondence for students served by the Center for Access and Engagement.
- Maintain confidential student filing system for active, inactive and graduated program students.
- Maintain accuracy of attendance, residency, and income eligibility for students enrolled in the Act 101 and other grant funded programs. Partner with PHEAA and Commonwealth University’s Office of Financial Aid to obtain application data, household income and other relevant information that will assist the Executive Director and/or Associate Director in determining the status of program participants.
- Maintain records and budgetary information for any funds associated with the Center for Access and Engagement that is managed by the Commonwealth University Foundation.
- Assist students in enrolling in the various programs and initiatives associated with the Center for Access and Engagement
- Plan all events for the Center for Access and Engagement. Planning of events includes, but is not limited to, room reservations, completion of proper forms, budget expenditure approval for food and gifts for students, Service Purchase Contracts for speakers and any other permissions necessary for event success. Plan and order food based on the type of event coordinating with Dining Services and Catering.
Ensure payment of all expenses after event has occurred. Work with any additional groups who may be involved with co-sponsoring the event(s). - Under the direction of the Executive Director and/or Associate Director, place and remove course holds as appropriate. In addition, when necessary, place students into courses that have restricted seats for participants of the Center for Access and Engagement.
- Maintain, monitor, and reconcile budget expenditures and student employment for the Center for Access and Engagement.
- Prepare all purchases, transfers and travel related to budgets managed by the Center for Access and Engagement. Ensure that all necessary forms, transfer and BI/SA input are completed Maintain and manage proposed expenditures to match actual allotments for salaries and operating expenses for any grants associated with the Center for Access and Engagement.
- Assist in preparing grant proposals, including the annual act 101 grant. Assist in the preparation of budgets for grant applications, to include calculating salaries and benefits of department faculty, staff and student employees. Estimate itemized operational costs to include educational and office supplies, cultural and in-service activities.
