Operations Manager
Job Purpose: Reporting to the Construction Project Manager, the Construction Junior Project Manager supports planning, coordination, and execution of construction and RJW facilities projects by managing project workflows, contracts, timelines, vendor relationships, and compliance requirements. This role exercises independent judgment, manages assigned projects from planning through closeout, and contributes to operational decision‑making impacting budget, timelines, and organizational efficiency. This is an exempt, professional role requiring initiative, discretion, problem‑solving, and accountability for project results in a fast‑paced construction and facilities environment.
Key Responsibilities Project & Team Leadership- Serve as project lead for assigned construction and facilities initiatives, managing schedules, deliverables, and stakeholder communications.
- Independently prioritize project tasks, resolve scheduling conflicts, and recommend process improvements.
- Provide project status reporting, identify risks, and recommend mitigation strategies to leadership.
- Coordinate cross‑functional teams and external vendors to ensure project milestones are met.
- Manage the full lifecycle of assigned projects, including planning, execution, documentation, and closeout.
- Oversee preparation, review, and administration of contracts, addendums, purchase orders, and change orders, ensuring compliance with company policy and legal requirements.
- Evaluate vendor proposals, monitor contractor performance, and recommend selections or corrective actions.
- Review invoices for accuracy and authorize or recommend payment approval based on contract terms and project status.
- Lead project meetings with internal and external stakeholders; set agendas, drive decisions, and ensure follow‑through on action items.
- Maintain project documentation in project management platforms (e.g., JIRA) and ensure records reflect real‑time project progress.
- Compile final deliverables including drawings, inspections, certifications, and project handover documentation.
- Oversee facility compliance documentation, ensuring business licenses, inspections, and regulatory filings remain current.
- Analyze inspection reports (fire alarm, sprinkler, HVAC, backflow, warehouse) and recommend corrective actions or capital improvements.
- Partner with Facility Supervisors to plan and optimize maintenance schedules, balancing operational needs, cost, and risk.
- Interpret lease requirements and advise leadership on landlord responsibilities, compliance obligations, and potential cost exposure.
- Develop and maintain a structured document management system in SharePoint to improve accessibility and audit readiness.
- Exercise independent judgment in prioritizing project workloads, managing competing deadlines, and resolving operational issues.
- Identify inefficiencies in project workflows and recommend process enhancements to improve cost, timeline, and quality outcomes.
- Contribute to budget tracking, cost forecasting, and financial impact analysis for assigned projects.
- Escalate significant risks or compliance concerns while proactively proposing solutions.
- 2‑5 years of experience in project coordination, construction administration, facilities management, or project management.
- Working knowledge of construction processes, project scheduling, contract administration, and lien law fundamentals.
- Strong proficiency in Microsoft Office Suite, including intermediate to advanced Excel for cost tracking and reporting.
- Demonstrated ability to make independent decisions, manage priorities, and solve complex project issues.
- Strong written and verbal communication skills, including the ability to influence stakeholders and present recommendations.
- High level of professionalism, accountability, and attention to detail.
- Experience using project management systems (e.g., JIRA, Smartsheet, Procore, or similar) preferred.
