Overview

The Program Coordinator I or II provides programmatic and administrative coordination in support of Office of Research Student Programs and Utah State University’s Student Research initiatives. This position performs a variety of professional-level coordination duties that require independent judgment, strong organizational skills, and frequent interaction with students, faculty, staff, and external partners. The Program Coordinator I or II supports program operations, communications, data tracking, and event logistics to ensure effective delivery of student research programs.

Responsibilities

Program Coordination and Administration (30%)
  • Coordinate day-to-day operations for multiple student and/or faculty research programs and initiatives.
  • Coordinate application and selection processes for approximately 7–10 programs, including application setup, intake, reviewer coordination, tracking, and follow-up.
  • Maintain accurate records, databases, and documentation in accordance with university and office standards.
Communication and Outreach (15%)
  • Prepare, distribute, and manage mass and targeted communications related to undergraduate research opportunities, deadlines, and program updates.
  • Manage the shared email account and respond to or route inquiries in a timely and professional manner.
  • Draft, edit, and update content for websites, reports, promotional materials, and internal communications.
Event and Program Support (25%)
  • Coordinate logistics and provide on-site support for undergraduate research events, including the Student Research Symposia, Undergraduate Research Fair, workshops, and related programming.
  • Collaborate with colleges, departments, and campus partners to promote events and ensure alignment of messaging and schedules.
  • Assist with travel coordination and logistical arrangements for student participation in conferences and off-campus events.
Data Management, Reporting, and Assessment (15%)
  • Collect, organize, and maintain participation and outcomes data related to student research programming.
  • Assist with basic data analysis and preparation of summaries for annual and ad hoc reports.
  • Support assessment activities by ensuring data accuracy and completeness.
Administrative and Office Support (10%)
  • Direct the hiring, training, and management of multiple student employees and volunteers. Direct student employee check‑ins, professional development, task delegation and scheduling.
  • Perform general administrative duties such as purchasing supplies, tracking expenditures within established guidelines, maintaining inventories, scheduling, and document preparation.
Qualifications Minimum Qualifications for Program Coordinator I
  • Associate degree plus two years of related work experience; or a bachelor's degree in a related field; or an equivalent combination of education plus experience is required.
  • Demonstrated ability to organize, prioritize, and manage multiple projects and deadlines.
  • Strong written and oral communication skills, including the ability to compose professional correspondence and informational materials. Proficiency with standard office software and systems, including word processing, spreadsheets, databases, and file‑management tools.
  • Basic familiarity with data collection, reporting, and research‑related processes.
Minimum Qualifications for Program Coordinator II
  • Bachelor's degree in a related field plus two years of relevant work experience; or a master’s degree in a related field; or an equivalent combination of education plus experience is required.
  • Demonstrated ability to organize, prioritize, and manage multiple projects and deadlines.
  • Strong written and oral communication skills, including the ability to compose professional correspondence and informational materials.
  • Proficiency with standard office software and systems, including word processing, spreadsheets, databases, and file‑management tools.

Preferred Qualifications
  • Knowledge of undergraduate research programs and the research environment at Utah State University or a comparable institution.
