The Administrative Assistant facilitates the efficient operation of the assigned department by performing a variety of clerical and administrative tasks.
Responsibilities- Must perform all duties and activities in a manner that is aligned with our company values:
Integrity, Humility, Innovation, Open to Change, Collaboration, Excellence and Customer Focus. - Highly skilled user of Microsoft Office 365 including, but not limited to;
Word, Excel, Power Point, Share Point, and serves as subject matter expert for documentation system management, presentations, teams-collaboration, etc. - Recruits, interviews and facilitates the hiring of qualified job applicants for open positions; collaborates with departmental managers to understand skills and competencies required for openings.
- Implements new hire orientation and employee recognition programs.
- Will provide backup for payroll.
- Administration of training records and use of learning management systems.
- Welcomes and directs visitors and clients.
- Schedules and organizes appointments; takes notes during departmental meetings.
- Maintains electronic (and paper) filing systems as assigned.
- Will assist EHS department with file management, program retention.
- Coordinates all in-coming/outgoing mail including certified/registered mail.
- Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed.
- Prepares agendas and schedules for meetings.
- Maintains office supplies including ordering.
- Performs other related duties as assigned.
Skills and Abilities
- HR / EHS knowledge is preferred.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- High Proficiency in Microsoft Office Suite and related software.
- Excellent organizational skills and attention to detail.
- Creative and proficient with developing basic marketing materials (print/social media)
- Ability to work independently.
- High School Diploma:
Associates degree or higher in Business Administration is preferred. - Three to five years of experience in an administrative role, preferably supporting Environmental, Health & Safety and Human Resources.
- Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 40 pounds at times.
