Office Manager

Transdev hiring an Office Manager
. The Office Manager performs administrative tasks in maintaining the collecting, gathering, processing and reporting of all financial information regarding the project, including but not limited to, human resources, payroll, accounts payable and receivable. Proficiently uses the computerized vehicle and equipment maintenance information system. We are seeking customer service-oriented professionals who are dedicated to safety.

Key Responsibilities:
  • Acts as the primary administrative point of contact for scheduling coordination, documentation, and operational support
  • Maintains organized records, reports, and internal systems to support daily business operations
  • Serves as Office Manager supporting five (5) travel technicians and contracted technical support staff
  • Manages billing processes, including invoice preparation, review, and submission
  • Oversees payroll functions for travel technicians and applicable contracted personnel, ensuring accuracy and timeliness
  • Coordinates with management to resolve billing discrepancies and payroll-related issues
  • Provides direct administrative and system support to the Maintenance Team
  • Handles N-part entries and unit uploads for all Fleet Services
  • Ensures fleet data accuracy and consistency across internal tracking systems
  • Assists with documentation and process flow related to fleet maintenance operations
  • Supports contracted technical resources by assisting with onboarding documentation, workflow coordination, and administrative needs
  • Helps bridge communication between internal teams and external technical partners
  • Active member of the TFS Startup and Shutdown Team
  • Assists with planning, coordination, documentation, and execution of startup and shutdown activities
  • Supports operational readiness and closeout processes to ensure smooth transitions
  • Provides cross-functional support as needed to ensure continuity of operations
  • Assists leadership with special projects, reporting, and process improvements
  • Demonstrates flexibility and initiative in a fast-paced, evolving operational environment
Qualifications:
  • High School Diploma or equivalent.
  • Faster and EAM experience preferred.
  • Experience using ADP, MOBI, and invoicing.
  • 2 years Data entry and administrative experience
  • Computer literate; proficient in Microsoft Office
  • Ability to operate standard telephone system.
  • Excellent written and verbal communication skills
  • Subject to a DOT drug testing and physical if applicable. DOT Regulation 49 CFR Part 40 does not authorize the use of Schedule I drugs, including cannabis, for any reason.
Physical Requirements:
  • The essential functions of this position require the ability to:
  • Work outside in varying temperature, weather, and humidity conditions - 100% of the job is performed outside, work alone and in remote locations.
  • Sit for extended periods (up to 6–8 hours per day); frequently walk for long distances and on possible sloped ground or slippery and uneven surfaces
  • Push and pull objects, occasionally throughout the workday; lift material weighing up to 50 lbs. with or without assistance; occasionally bend, kneel, or crouch to files or equipment stored at ground level
  • Withstand heavy traffic areas while performing the duties of the job; tolerate exposure to considerable amounts of dust, vehicle fumes and noise.
