Job Title: Mail Room Administrative Clerk III
Location: Lombard, IL (Onsite, 5 days per week in office)
Duration & Type: Initial 3 to 6 Month Contract with potential for extension or conversion

Chamberlain Advisors is seeking a Mail Room Administrative Clerk III to support high-volume mailroom and administrative operations within a structured office environment. This role performs complex clerical and mail handling duties requiring familiarity with departmental procedures, document management standards, and internal workflow controls. The ideal candidate is detail-oriented, dependable, and comfortable working in a fully onsite setting while supporting both physical mail operations and administrative reporting functions.

- Compile, tabulate, and verify data used in the preparation of regular and special reports.
- Research and resolve inquiries related to departmental functions and mail processing.
- Prepare and type notices, reports, forms, letters, and legal documentation under supervision.
- Input and extract data from internal computer systems.
- Prepare statistical data and support departmental reporting and projects.
- Sort, prepare, deliver, and pick up physical mail across departments.
- Operate and perform light maintenance on postage and folding machines.
- Investigate unidentified correspondence and route or return mail according to established procedures.
- File, image, scan, and index documents in accordance with departmental and regulatory standards.
- Adhere to document retention policies and manage physical document storage and lifecycle requirements.
- Monitor and replenish paper supplies, envelopes, and mailroom materials.
- Monitor postage accounts and ensure efficient usage and replenishment.
- Maintain clean, organized, and well-stocked mailroom and print areas.
- Review documents for accuracy and completeness prior to filing, imaging, scanning, or indexing.
- Handle internal mail, print, imaging, and scanning requests from internal customers.
- Lift and transport materials weighing between 20 and 50 pounds throughout the office.
- Communicate professionally with co-workers, management, and internal customers.
- Comply with HIPAA, corporate compliance policies, and confidentiality requirements.
- Maintain communication with management regarding assigned responsibilities and workflow updates.
- High School Diploma required.
- Typically two or more years of business or administrative experience.
- Ability to lift and move boxes or office equipment weighing up to 50 pounds.
- Ability to move safely over uneven terrain or in confined spaces.
- Ability to sit, stand, or walk for prolonged periods throughout the workday.
- Strong organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Experience with mailroom operations. (Preferred)
- Experience handling mail pallets. (Preferred)
- Experience working with UPS and or USPS shipping processes. (Preferred)
