SUBSTITUTE CLERICAL - ALL CLERICAL CLASSIFICATIONS
Substitute employees are paid at Step 1 on the Classified Bargaining Unit Salary Schedule in the position they are subbing in. Example salaries are as follows:
Office Assistant $19.85 per hour;
Sr. Office Assistant $20.33 per hour;
Staff Secretary $21.36 per hour.
This position provides valuable support to school sites and departments by assisting with a variety of office and administrative functions. Assignments may include receptionist duties, data entry, record‑keeping, customer service, scheduling, and general office support.

Duties and Responsibilities- Perform general clerical duties in support of an assigned school office or department, including typing, filing, duplicating, distributing materials, and coordinating communication flow for the supervisor.
- Answer, screen, and direct telephone calls; respond to inquiries and take messages.
- Receive, greet, and direct visitors; provide general information or refer to appropriate personnel.
- Prepare and maintain logs, files, and records in compliance with administrative guidelines and legal requirements; manage student cumulative files and records; review, research, and verify accuracy and completeness of documents; prepare routine reports; process forms and applications.
- Assist with attendance and enrollment duties: verify student absences and tardies, update attendance information, follow up with parents by phone or e‑mail, prepare weekly and monthly attendance reports, prepare and mail truancy letters, and maintain homework request agreements and independent study contracts.
- Maintain textbook inventory; provide textbooks to students; communicate with District personnel regarding textbook and consumable orders; maintain student debt lists.
- Prepare documents such as form letters, memos, calendars, bulletins, awards, or other materials to communicate information to students, staff, or the public.
- Assist health office staff; administer basic first aid and provide prescribed medication to students as needed.
- Collect payments, complete transactions, and secure funds according to established procedures.
- Process documents, forms, mailings, and other materials; disseminate information to appropriate personnel.
- Distribute materials including checks, supplies, applications, and other items; ensure timely delivery to designated personnel.
- Operate office equipment such as copiers, fax machines, computers, and assigned software.
- Maintain inventory of office supplies and materials.
- Receive, sort, and distribute mail; respond to e‑mail as directed.
- Perform related duties as assigned.
- High school graduation and one year of general clerical experience, or equivalent.
- Some positions may require a valid California Class C driver’s license and acceptable driving record.
- Some positions may require the ability to speak, read, and write in a designated second language.
- Some positions may require a valid First Aid and CPR certification issued by an authorized agency within six months of employment.
