The Fiduciary Tax Department seeks a detail‑oriented, organized Tax Clerk to provide administrative and tax support services for trust accounts. This role ensures accurate handling of tax documents, tax notices, and related fiduciary records while supporting internal tax professionals, external tax vendors, and cross‑department collaboration. The ideal candidate is highly organized, dependable, and comfortable working with sensitive financial and tax information in a regulated trust environment.
Key Responsibilities Fiduciary Tax Support- Support fiduciary tax professionals with administrative tasks related to trust tax compliance.
- Assist with data gathering and organization for fiduciary income tax filings (e.g., Form 1041 and related state filings).
- Help coordinate information requests between internal teams, trust officers, and external tax preparers or vendors.
- Track outstanding tax items and maintain accurate logs or spreadsheets.
- Receive, organize, scan, and log incoming tax‑related mail, including federal and state tax notices, tax documents, and correspondence.
- Accurately index and store documents in designated document management systems in accordance with fiduciary and retention requirements.
- Assist with tracking and monitoring tax notices, deadlines, and follow‑ups to ensure timely resolution.
- Prepare and process routine tax forms and supporting documentation (e.g., fiduciary information forms, address updates, authorizations).
- Maintain confidentiality of client, trust, and tax information at all times.
- Follow established fiduciary tax procedures, internal controls, and compliance standards.
- Assist with special projects, audits, or process improvements as assigned.
- Support team efforts during peak tax season to ensure timely and accurate processing.
- 1–3 years of administrative, tax, accounting, or financial services experience preferred.
- Strong attention to detail and ability to manage high volumes of documents accurately.
- Proficiency with Microsoft Office applications (Excel, Word, Outlook).
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong organizational skills and ability to prioritize tasks in a deadline‑driven environment.
- Experience in a trust company, bank, wealth‑management firm, or fiduciary environment.
- Familiarity with fiduciary income taxation, trust accounting, or tax notice resolution.
- Experience working with document management or workflow tracking systems.
- Prior exposure to tax forms such as Form 1041, state fiduciary returns, or IRS/state tax notices.
- Detail oriented with a strong focus on accuracy.
- Dependable and able to follow established procedures consistently.
- Strong written and verbal communication skills.
- Ability to work independently while also supporting a collaborative team environment.
- Comfortable with repetitive administrative tasks and process‑driven work.
