Front Desk Coordinator - Cosmetic Surgery & Aesthetics

Faces First Cosmetic Surgery, a part of AOO | ENT Specialists of the Rockies, is seeking a friendly, outgoing and highly organized Front Desk Coordinator to join our team in Lone Tree, CO.

As one of the first points of contact for our patients, the Front Desk Coordinator plays an important role in creating a welcoming and professional patient experience. This position is responsible for greeting patients, answering phones, scheduling appointments, managing and following up with prospective patient leads, and supporting the daily operations of our cosmetic surgery and aesthetic practice.

A key part of this position is lead management. The Front Desk Coordinator will communicate with prospective patients by phone, text and email, answer general questions about Faces First services, consistently follow up with inquiries, and help convert interested leads into scheduled consultations.

The ideal candidate enjoys interacting with people, is confident, professional, and personable on the phone, has excellent follow-through and is interested in cosmetic surgery, aesthetics and skincare.

• Warmly greet and assist patients and visitors
• Answer incoming calls and respond to patient inquiries
• Schedule, confirm and manage patient appointments
• Respond promptly to new patient leads by phone, text and email
• Manage prospective patient leads from initial inquiry through consultation scheduling
• Consistently follow up with prospective patients who have not yet scheduled
• Engage prospective patients, answer general questions and help convert leads into scheduled consultations
• Accurately track lead activity, follow-up and outcomes
• Develop a strong working knowledge of Faces First providers, surgical procedures, aesthetic services and skincare products
• Provide general information about Faces First services and direct patients to the appropriate team member when needed
• Accurately enter and maintain patient information and appointments within the Electronic Medical Record (EMR)
• Collect and process patient payments
• Assist with skincare product purchases
• Work collaboratively with providers and other members of the Faces First team
• Assist with general front-office responsibilities as needed

• Previous customer service experience required
• Cosmetic Surgery office and front-desk experience required
• Excellent customer service and communication skills
• Friendly, outgoing and professional demeanor
• Strong organizational skills and attention to detail
• Excellent follow-through and ability to take ownership of assigned responsibilities
• Comfortable communicating with patients by phone, text, email and in person
• Ability to multitask and prioritize in a busy patient-facing environment
• Comfortable learning and working within an EMR and other practice systems
• Basic computer proficiency
• Interest in cosmetic surgery, aesthetics and skincare
