Administrative Intern – Finance Division
The Port of Long Beach is seeking an Administrative Intern in the Finance Division. This at‑will position offers an hourly wage of $25.088.
RoleUnder direct supervision of the Manager of Harbor Grants, the Administrative Intern will assist with grant management tasks and projects, including gathering electronic grant documentation, organizing files using Adobe Professional, and storing records in the electronic document management system.
Contributions- Learn best practice grant management procedures.
- Provide administrative support to the Manager of Harbor Grants.
- Review and proofread memos, letters, reports and agreements.
- Gather records, documents, agreements, invoices from a variety of sources and systems.
- Organize and compile files in Adobe Professional.
- Organize and store files in the electronic document management system.
- Correspond with internal and external staff via email, MS‑Teams, and phone regarding grants and projects.
- Maintain sensitive and confidential information with professionalism and discretion.
- Maintain a positive, professional tone in all communication with internal teams, city staff, and external partners or vendors.
- Perform other duties as required.
- Must be at least 18 years of age.
- Must be currently enrolled in a Bachelor’s degree program with status as a junior or senior or currently enrolled in a Master’s degree program. Recent graduates (within the last 12 months at the time of application) are also encouraged to apply.
- A major in Business Administration, Public Administration, Business Law, Pre‑Law, Auditing, Purchasing, or a closely related field is preferred.
- Ability to work independently with attention to detail.
- Ability to follow written and oral instructions accurately.
- Ability to prepare accurate, complete records that meet Port standards.
- Good oral and written communication skills.
- Ability to use Adobe Professional software for document compilation, editing and organization.
- Experience with Microsoft Office software, such as Outlook, Word, Excel, and Teams is desirable.
This unclassified (Non‑Civil Service) position is an at‑will internship that typically averages 20 hours per week, up to 29 hours per week, for a total of 1600 hours in a year for a maximum of two years. Flexibility is offered within typical business hours. The assignment may end at any time, but under no circumstances will it extend beyond two years.
