About the Opportunity

A fast-growing and highly entrepreneurial company is seeking a polished, proactive, and highly adaptable Executive Assistant to support the CEO in a dynamic, fast-paced environment. This is a high-visibility role that requires a true right-hand partner capable of balancing executive support, strategic coordination, and occasional personal assistant responsibilities.

The ideal candidate thrives in environments where priorities shift quickly, communication styles are direct, and no two days look the same. This individual will play a critical role in helping the CEO stay organized, focused, and operating effectively during an important period of company growth and transition.

This position is best suited for someone who is calm under pressure, emotionally intelligent, highly resourceful, and comfortable operating with urgency and discretion.

Key Responsibilities
  • Manage and optimize a constantly evolving executive calendar
  • Coordinate domestic and international travel, including detailed itineraries and last-minute adjustments
  • Prepare meeting materials, briefing documents, and executive summaries
  • Manage and prioritize inbound communications including email, text, and meeting requests
  • Track follow-up items and ensure accountability across executive priorities
  • Coordinate leadership meetings, offsites, and executive logistics
Strategic & Operational Coordination
  • Support cross-functional communication and project coordination across departments
  • Assist with executive-level presentations, reports, and business materials
  • Support special projects and operational initiatives as needed
  • Maintain organized records, contracts, and executive documentation
  • Handle highly confidential business information with professionalism and discretion
Personal Assistant & Lifestyle Support
  • Assist with occasional personal assistant responsibilities and lifestyle logistics
  • Coordinate vendors, errands, appointments, and ad hoc executive requests
  • Support travel-related logistics and scheduling flexibility as priorities evolve
What We’re Looking For
  • 5+ years of Executive Assistant experience supporting a CEO, founder, or senior executive
  • Experience in fast-paced, entrepreneurial, founder-led, or high-growth environments strongly preferred
  • Strong calendar management and complex travel coordination experience
  • Excellent written and verbal communication skills
  • Ability to remain calm, professional, and solutions-oriented under pressure
  • Strong emotional intelligence and sound judgment
  • Highly organized with exceptional follow-through
  • Comfortable managing shifting priorities and ambiguity
  • Advanced proficiency with Microsoft Office, Google Workspace, and executive communication tools
  • High level of discretion and confidentiality
  • Proactive and resourceful
  • Thick-skinned and emotionally steady
  • Service-oriented with no ego
  • Highly responsive and dependable
