This is a part-time position, scheduled for approximately 20 hours per week. All work will be performed onsite at our Long Beach office.

The Assistant to the President/CEO will be expected to work side by side with the CEO. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. Must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. Experience with project and document management is a must.
- Managing Schedules:
Coordinate and manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements – both personal and work‑related. - Communication Handling:
Act as a gatekeeper for the CEO, filtering, managing, responding to and following up on emails, phone calls, and other forms of communication. - Information Management:
Organize and maintain confidential information, including corporate governance, contracts and agreements, usernames and passwords, bill payments, files, and records related to the CEO’s work. - Administrative and Personal Support:
Handle administrative tasks such as drafting correspondence, taking and distributing meeting notes, preparing reports, creating PowerPoint presentations, and maintaining documents. Will also perform personal errands and tasks such as picking up dry cleaning and pharmacy medications, taking the car to get services/fueled, as well as various tasks related to home management. - Meeting Preparation:
Assist in preparing materials, agendas, and briefs for meetings the CEO attends or leads. - Event Coordination:
Plan and coordinate company events, conferences, or other special occasions involving the CEO. - Decision Support:
Conduct research and provide background information to assist the CEO in making informed decisions. - Project Management:
Manage special projects or initiatives that the CEO is overseeing. - Expense Management:
Handle expense reports, reimbursements, and budget tracking for the CEO. - Problem Solving:
Address various issues and challenges that arise in the course of the CEO’s work. - Confidentiality:
Maintain a high level of confidentiality regarding sensitive information. - Travel Arrangements:
Organize travel plans, including flights, accommodation, and transportation for the CEO’s business trips. - Other projects and tasks, as assigned.
