Office Administrator/ Coordinator

SalaryThe anticipated salary hiring range is up to $89,988 per year, commensurate with qualifications and experience.
Work ArrangementsFlexibility to telecommute two days a week, with three days on‑site at the main headquarters in Long Beach, California.

Administrative Analyst/Specialist – Exempt II
Compensation NoticeCSU Classification Salary Range: $69,564 - $101,340 per year (Step 1 – Step 20). Step placement will be determined based on relevant qualifications and experience. Step placement upon appointment is not expected to exceed Step 14 ($89,988 per year). Future increases, including step advancement, are subject to contract negotiations.
Position InformationThe position’s primary responsibilities include administrative support for the F&T department and Systemwide Risk Management, as well as senior support for the Assistant Vice Chancellor. The role requires familiarity with all office functions and collaborative interaction with campus, Chancellor’s Office, and third‑party stakeholders.
ResponsibilitiesUnder the general direction of the Assistant Vice Chancellor, the Operations Administrator will draft letters and memos, assist with report development, screen and route calls and correspondence, maintain filing systems, prepare attendance records, arrange temporary clerical assistance, schedule meetings and conference logistics, coordinate document signing, and maintain departmental reference documents. The role also involves high‑level communication with campus and Chancellor’s Office administrators and external parties, ensuring effective coordination across all departments.
AdditionalDuties
- Provide executive‑level administrative support to the AVC FTRM, including preparation for Board of Trustees meetings.
- Schedule and manage the AVC of FTRM calendar.
- Purchase supplies via the department procurement card under AVC FTRM delegation.
- Arrange travel and process approvals and claims; serve as first approval of staff travel reimbursements.
- Lead departmental planning and execution of high‑quality events, including logistics and online registration.
- Administer event budgets and reconcile revenue against expenditure.
- Support the California State University Investment Advisory Committee (IAC) in meeting logistics and travel claims.
- Process invoices from the State Treasurer’s Office and State Controller’s Office.
- Maintain, enhance, and troubleshoot both internal and external Financing and Treasury websites.
- Interact with external legal counsel, financial advisors, sponsors, campus personnel, and auxiliary staff.
- Lead document organization on the department’s website and shared server files.
- Oversee records retention compliance, tracking, inventory, and disposition.
- Coordinate confidential personnel processes: performance evaluations, position descriptions, HR forms, and periodic PD reviews.
- Lead the recruitment process for FTRM staff, including posting, resume screening, interview scheduling, and HR coordination.
- Lead onboarding for new employees.
- Assist personnel in creating and maintaining databases.
- Provide general office administrative functions for all departmental staff.
- Provide administrative backup support to Systemwide Risk Management as needed.
