Job Summary
The Safety Administrative Assistant supports the Safety Director in the coordination and execution of the company’s safety programs and compliance initiatives. This role is responsible for maintaining accurate safety records, assisting with regulatory reporting, and ensuring timely communication of safety-related information across the organization.
The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment. This position plays a key role in promoting a culture of safety by providing administrative support, tracking incidents and training, and helping ensure compliance with all applicable federal, state, and company safety regulations.
Duties/Responsibilities- Assist with Osha andCalOshasafety compliance.
- AssistwithmaintainingUIIA,Emodaland PDTRsystems.
- Assistwithmaintainingand auditing of Driver qualification file.(Annualexpirationdate of DQFrequirements)
- Assistwithmaintainingequipmentfilesand period inspections in accordance withDOT and FMCSA.
- Assistwithmonitoringandauditingcarrierinsuranceandauthorityrequirements.
- Monitor and respond to any security concerns whilemonitoringcameras and front office log-intabletdaily. Ensure cameras are functional and operational.
- Ensure both yards and office building areas are clean, and rooms are used for their purpose of design
- Go to Cota once a week on trash day to take out and return trash bins. Perform a walkthrough and make sure there are no tires, oil cans, or piling up around the yard.
- Assistwithmonitoring and ensuringoptimalperformance of charging stations,warehouses, and office facilities.
- Conduct regular safety audits, training programs, and inspections for drivers and fleet maintenance staff.
- Monitoring drivers' HOS to ensure compliance with federal regulationsregardingrest breaks, driving hours, and time off.
- Makesure the yard is clean, organized, and in great shape.
- Other duties as assigned
- Preferred1years’ experience inatransportation environment,A background in safety knowledge(OSHA & DOT requirements),
- Excellent organizational skills in prioritizing tasks, recognizinggapsandmaintainingrecords,
- Ability to work well with peers and external vendors with strong customer service and relational skills,
- Great customer service verbal, and written communication skills,
- Strong computer and technology skills includingproficiencyin MS Office/Google applications.
- Ability to hold multiple projects and routine tasks simultaneously.
- Ability tolift upto 50lbsand perform physical tasks as needed.
- Frequent bending, stooping, kneeling, reaching, and climbing ladders.
- Prolonged sitting,routine lifting and bending,routine walking throughout the yarddaily.
