Position Summary

The Sr. Benefits – LOA Specialist manages, monitors, documents and supports leave of absence (LOA) activities related to overall LOA administration in accordance with organizational policy, federal and state laws. Produces end‑user reports and analysis data to make recommendations based on LOA trends. Provides information, interpretation, guidance and consultation on complex issues that may arise as a result of an LOA associated with Family Medical Leave Act (FMLA), California Family Rights Act (CFRA), Pregnancy Disability Leave (PDL), leave as an accommodation under the Americans’ with Disabilities Act (ADA), Workers Compensation, and Personal LOAs.

Extracts, organizes, verifies, and interprets customer needs into procedures that follow current policies and practices. Serves as the Human Resources (HR) central point of contact regarding workers compensation claims in coordination with Employee Health Services and the third‑party Workers Compensation administrator. Coordinates workers compensation from initial claim through closure, and the transition from one leave type to another. Maintains the Alternative Duty Program (ADP) to ensure that the program is being followed based on workflow and policy.

The LOA Specialist is responsible for the coordination and administration of the leave of absence process for employees including, but not limited to FMLA, CFRA, PDL, ADA, Workers’ Compensation, STD and LTD programs in accordance with organizational policy, federal and state laws. Responsibilities include interpreting policies and instructing employees and managers on proper processes and procedures, maintaining records and reports related to leaves, and maintaining communication to all involved in the process.

Essential Functions and Responsibilities of the Job
  • Serves as the subject matter expert on the end‑to‑end leave of absence process to ensure that all leaves are handled in a proper manner and adhere to organizational policies and procedures as well as all federal and state laws and regulations.
  • Responsible for all case management elements of a leave and acts as the primary source of information and contact on issues related to a leave of absence. Responsible for educating employees on available leaves, updating employment status, and coordinating the return to work, employee transition and/or employee separation from the organization.
  • Provides support to managers by providing timely and accurate information to evaluate requests; tracks and follows up with employee, manager, and HR on all areas of a leave including, but not limited to LOA/FMLA/CFRA/PDL and/or workers compensation.
  • Responsible for the ADA process including the interactive process meetings with the manager and employee for any permanent or temporary work restrictions.
  • Manages, retains and follows up on all leave of absence documentation to ensure accuracy and timeliness.
  • Implements the appropriate changes and develops methods and systems to ensure that proper procedures are made on a continual basis and updates are communicated to employees and managers on a timely basis.
