We are seeking a dynamic and friendly Front Desk Receptionist to be the welcoming face of our optometry office. In this vital role, you will serve as the first point of contact for patients and team members, ensuring a positive and professional experience from the moment they walk through the door. Someone who is fluent in both English and Portugese is a must!

Your energetic approach and excellent organizational skills will help keep our office running smoothly, supporting various administrative functions and providing exceptional customer service. Responsibilities
  • Greet visitors and patients warmly, providing a professional and friendly first impression
  • Manage multi-line phone systems, directing calls efficiently and courteously
  • Handle incoming correspondence, including emails, mail, and packages with accuracy and promptness
  • Maintain appointment calendars and schedule meetings using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Support office management tasks such as supply inventory, document preparation, and basic bookkeeping using Quick Books or similar software
  • Assist with clerical duties including typing, photocopying, and maintaining organized records
  • Provide exceptional customer support by addressing inquiries promptly and professionally
  • Manage front desk operations with excellent phone etiquette and organizational skills
Requirements
  • Ability to speak and understand fluent English and Portuguese is required
  • Proven experience in office management or administrative roles with strong clerical skills is required
  • Experience in a medical or vision office is preferred, but not required
  • Excellent computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Prior experience working with multi-line phone systems and handling front desk responsibilities
  • Strong organizational skills with attention to detail in data entry, filing, proofreading, and calendar management
  • Ability to handle patient interactions professionally while maintaining a positive attitude
  • Knowledge of medical or dental receptionist duties is a plus but not required
  • Familiarity with bookkeeping software such as Quick Books is preferred for supporting financial tasks is preferred
  • Excellent time management skills to prioritize tasks efficiently in a fast-paced environment
