Position: Administrateur(trice) exécutif(ve) principal(e) / Senior Executive Administrator
Responsibilities   Manage and maintain agenda and calendar for executives and support teams.
Organize meetings, events, and conference calls, preparing associated documents.
Resolve calendar conflicts proactively and efficiently.
Coordinate logistics for engineering events (corporate reviews, major client meetings, executive off‑sites) elop tools and reporting documents using Excel, Word, Visio and PowerPoint to support executive objectives.
Arrange travel for a team of five managers and two executives, including itineraries, hotel and transportation reservations.
Prepare and follow up on expense reports.
Identify location‑specific considerations (culture, safety, regulations, etc.).
Manage client visits, handling agenda, venue, catering, communications and associated logistics.
Take action‑plan notes during meetings and ensure timely follow‑up.
Design and produce financial and organizational documents, reports and presentations.
Draft correspondence and perform translations when required.
Create and maintain executive dashboards and scorecards.
Serve as primary point of contact and liaison for internal and external stakeholders.
Act as gatekeeper and liaison to facilitate communication between executives, direct reports and colleagues.
Collaborate with other administrative assistants to share workload and support activity organization.
Maintain and organize filing systems.
Coordinate project follow‑ups and archiving activities with proactive planning.
Support timely filing of key customer correspondence.
Assist individual contributors with tasks such as completing ENOVIA Engineering change order requests for program teams and managing documentation for sponsor visits.
Qualifications   College diploma with a minimum of five years of relevant experience.
Experience working in large organizations (mandatory).
Excellent oral and written communication skills in English and French.
Adaptability, flexibility and strong organizational skills.
Attention to detail, proactive mindset and high quality of execution.
Team‑spirit and willingness to learn new skills.
Reliability and ability to manage confidential information.
Advanced proficiency in Microsoft Office (Excel, Word, Visio, PowerPoint).
Knowledge of Power

BI and advanced Excel functions or other data‑analytics tools (highly preferred).

Experience with MS Project and ENOVIA PLM is an additional asset.
Fields of study may include Administration, International Administration, Business/Commerce, Industrial Relations, Public Relations, Human Resources, Secretarial Studies, Translation or related areas.
