Position Summary
The Accounting Specialist will perform a variety of accounting duties that range in level of complexity from general accounting duties such as managing receivables to more complex duties such as reconciling the general ledger accounts as well as multiple bank accounts. This position will report to the CFO.
Minimum Requirements
- Associates degree in Accounting, Finance or a related field, or five years of accounting experience in lieu of degree.
- Mental and physical health sufficient to meet the demands of the position.
- Must be able to adhere to all client related policies and procedures including confidentiality.
- Requires a valid Texas Driver's License, appropriate driving record and auto liability insurance that meets the minimum required by State of Texas statute.
Essential Functions
- Prepares deposits for non-clinic deposits and makes corresponding GL entries as well as review bank activity to record all electronic activity (Direct deposits, ACH, EFT)
- Prepare and process payroll, including regular and off-cycle payrolls, coordinating with Human Resources and the payroll vendor.
- Administer time and attendance system, including time clock maintenance, coordination with third-party vendor, and IT department.
- Coordinate and provide training to staff on utilization of the time and attendance system, as needed.
- Maintain payroll records in compliance with State and Federal regulations.
- Track and resolve any payroll discrepancies.
- Semi-monthly payroll audit. Ensures labor costs are charged to correct accounts. Makes entry to record payroll after final payroll is processed.
- Updates various allocation spreadsheets with payroll allocation data including FTE, retirement, benefits, etc.
- Compiles and submits monthly grant billing by preparing billing reports and making the necessary entries to financial accounting system.
- Compiles and submits all required grant reports as required under the grant agreement, including monthly, quarterly, and annual submissions.
- Computes and records payroll data as scheduled.
- Provides support to Accounts Payable, including batch review.
- Assists with inventory management.
- Prepares and submits annual Personal Property Rendition reports.
- Support department personnel as needed.
- Carries out other duties as assigned.
Required Skills
- Familiar with basic principles of accounting (audits, reporting, GL account entry/maintenance, etc...)
- Knowledge of electronic accounting software (Sage preferred)
- Proficiency in Microsoft Office, including Excel
- Prior payroll experience, preferred
- Attention to detail with emphasis on accuracy and quality
- Energetic, forward-thinking and creative individual with high ethical standards and an appropriate professional image.
- The ability to work independently and effectively under pressure.
- Demonstrated human relation and effective communication skills also required.
- Superior organizational and problem solving skills
Physical Requirements
Requires sitting, standing and walking for extensive periods of time. Requires working under stressful conditions or working irregular hours. Requires frequent exposure to communicable diseases, body fluids, toxic substances, medicinal preparations and other conditions common to a clinic environment.
The employee frequently is required to reach with hands and arms. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. Ability to work with a moderate noise level in the work environment is required.
The occupant may, at times, lift and/or move objects up to 30 pounds. The noise level in the work environment is usually moderate.
