Responsible for the administrative support functions related to management of real estate and oil and gas held in trust, estates and agency accounts, with real estate duties taking precedence.
Maintain strict confidentiality of customer and banking relationships. Work in cooperation with other departments. Convey attitude that will contribute to the success of the bank and to own personal success. Inspire confidence and build lasting relationships by helping our customers identify and achieve their financial goals. Provide secure, accurate, responsive, and courteous customer service to both internal and external customers at all times.
- Works directly with Wealth Management Real Estate Coordinator to ensure all utilities for trust-owned properties are paid timely. Maintains spreadsheet or other approved tracking system in order to efficiently accomplish this task. Researches last paid invoices if invoices and/or payments have not been received or were lost in the mail.
- Needs to have the ability to sort in-coming mail and be able to recognize utilities for trust-owned properties vs. non-trust-owned.
- Schedules necessary repairs on properties as dictated by the Real Estate Coordinator. This may include calls and/or email correspondence with contractors to obtain bids/estimates when cost warrants.
- Assists the Real Estate Coordinator in the annual payment of property taxes on trust-owned real estate. The volume of taxes requires organizational skills, attention to detail, frequent research, and interaction with taxing entities. At the conclusion of tax season, must be able to complete follow-up research either online or with the taxing entity, if receipts are not received.
- Posts payments for rental properties into trust accounting system, which could include taking in cash and obtaining cashier’s checks from the lobby tellers.
- Receives and deposits incoming rental checks and credit card payments for storage unit held in trust, which requires review of the daily deposit slip with the payments received for accuracy, and delivery of the deposit to the lobby tellers for processing.
- Prepares documents for scanning at the end of each business day to prevent back‑log.
Other Functions:
- Provide support to the oil and gas department as needed, time permitting, which may include clerical duties, data entry, or special projects.
- Clerical duties as needed, including correspondence, filing, and research. Must know proper phone etiquette and be articulate both verbally and in writing.
- Provide support to supervisor as needed.
- Must comply with all bank policies and procedures that are job-related and/or consistent with business necessity.
- Ability to multi-task and prioritize work.
- Self‑starter - ability to begin work each day with minimal supervision.
Qualification Requirements:
- High school education or equivalent plus 2 or more years of college or equivalent specialized training.
- Good organizational skills a must.
- Proficiency with general office equipment including typewriter, calculator, MS Excel, MS Word, fax machine/copier/scanner.
- Ability to communicate well, both orally and in writing.
- Ability to work well under pressure and meet stringent deadlines.
- Accuracy and attention to detail.
- Punctual, reliable, and dependable.
- Confidentiality of customers and accounts must be maintained.
- Must be able to perform the essential functions of the job with or without reasonable accommodation and without posing a direct threat to the health and safety of self or others.
- Must be able to work for extended periods of time without checking their cell phone or distracted by social media.
General Physical Demands and Workplace
Conditions:
- Must be able to exert up to 20 pounds of force occasionally, and up to 10 pounds of force frequently, and a negligible amount of force constantly to lift, carry, push or pull or otherwise move objects within the immediate work station.
- Must be able to walk, sit or stand frequently, up to 50% of the time.
- Must be able to tolerate encounters with coworkers and customers under the following conditions: atmospheric pollutants or allergens, including but not limited to fumes, odors, dusts, poor ventilation; changes in indoor/outdoor temperatures encountered in travel between buildings and branches.
- Other physical attributes required to successfully perform the essential functions above include finger agility, talking, and listening.
