Position Summary:
Manages assigned administrative, strategic, and organizational projects under the direction of the Executive Project Manager. Coordinates projects from planning through completion, including strategic initiatives, system implementations, organizational improvement efforts, and other cross-departmental projects. Works with Tribal departments, leadership, consultants, vendors, and external partners to keep projects organized, communicate progress, resolve issues, and help ensure successful project delivery.
Essential Duties & Responsibilities:- Leads implementation of assigned projects and initiatives across Tribal departments.
- Develops and manages project plans, schedules, milestones, deliverables, budgets, risks, resource requirements, and implementation activities throughout the project lifecycle.
- Facilitates project meetings, documents decisions and action items, monitors progress, and communicates project status to stakeholders and executive leadership.
- Maintains project documentation, dashboards, reports, collaborative work spaces, and project records to support effective project governance.
- Identifies project risks, obstacles, and resource needs and communicates recommendations for resolution.
- Prepares project status reports, dashboards, presentations, and executive-level updates.
- Evaluates project outcomes, identifies lessons learned, and recommends process improvements to strengthen future project delivery.
- Supports the Tribal Project Governance framework by coordinating project intake, prioritization, portfolio reporting, governance documentation, and adherence to project management standards.
- Develops and monitors project scope, schedules, budgets, risks, issues, and resource requirements throughout the project lifecycle.
- Supports development and implementation of project management tools, templates, standards, and tracking systems.
- Assists departments in developing project plans, timelines, deliverables, and implementation strategies.
- Manages multiple concurrent projects and priorities while ensuring alignment with organizational goals and strategic objectives.
- Supports implementation, tracking, reporting, and continuous improvement of Tribal strategic planning initiatives and departmental action plans.
- Supports development, formatting, review, and distribution of policies, procedures, resolutions, and administrative documents.
- Facilitates document review processes and maintains version control.
- Coordinates assigned surveys, data collection efforts, community engagement activities, and related reporting.
- Serves as a liaison between departments, consultants, vendors, Tribal leadership, and external partners to support project implementation and coordination.
- Manages project-related procurement activities, vendor communications, contract deliverables, and project-related purchases.
- Develops spreadsheets, trackers, reports, dashboards, and project status updates.
- Supports grant, technology, facilities, strategic planning, governance, and organizational improvement projects as assigned.
- Leads and supports system implementations, software upgrades, technology improvement projects, and related change management activities across Tribal departments.
- Maintains confidential information and sensitive records with discretion.
- Provides project-related administrative support necessary to advance departmental and organizational initiatives
- Keeps abreast of new technologies and principles attending seminars, educational workshops, classes, and conferences to maintain certifications.
- Contributes to a team effort and accomplishes related results as required.
- Performs other duties as assigned.
- Knowledge of project management principles, practices, methodologies, and reporting techniques.
- Knowledge of office management principles and organizational procedures.
- Knowledge of system implementation methodologies, software upgrades, change management principles, and technology project coordination.
- Knowledge of strategic planning principles, process improvement methodologies, and organizational change management.
- Strong organizational and time-management skills.
- Skill in project scheduling, business process analysis, data visualization, and dashboard development.
- Skill in facilitation and consensus building, conflict resolution, and vendor coordination.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, PowerPoint, Teams, SharePoint, Planner, and Microsoft Project or equivalent.
