Foundation Event Assistant Seasonal
Peace Health is seeking a Foundation Event Assistant Seasonal for a Part Time, 0.00 FTE, Variable position. The salary range for this job opening at Peace Health is $26.11 – $39.17. The hiring rate is dependent upon several factors, including but not limited to education, training, work experience, terms of any applicable collective bargaining agreement, seniority, etc.
Job Summary
This part time, temporary, and seasonal role provides essential administrative and operational support for the St. John Annual Gala, a premier fundraising event raising more than $500,000 annually. This role is critical to the successful execution of the gala by supporting auction logistics, donor and item tracking, event preparation, onsite event operations, and post-event fulfillment. The position works collaboratively with the gala committee, volunteers, donors, and event staff to ensure a seamless and successful fundraising experience.
EssentialFunctions
- Supports all administrative functions of the gala, including gift-in-kind tracking, donor data entry, auction item management, certificate creation and reporting. Maintains accurate records within the Greater Giving database.
- Provides auction item management support by cataloging, organizing, storing, preparing, packaging, and labeling auction items. Assists with auction displays and bid sheet creation to ensure items are presented effectively.
- Maintains donor and auction records, ensuring all donor information is complete, accurate, and up to date. Supports auction item entry and tracking through established fundraising systems and processes.
- Collaborates with the gala committee and volunteers to assemble auction packages and baskets, certificates, bid sheets, displays, and assists with tagging, bundling, and organizing auction items for presentation and sale.
- Provides day-of event execution support, including setup and breakdown of auction and event spaces, assisting with silent auction operations, guest assistance, checkout support, and troubleshooting auction-related issues during the event.
- Coordinates post-event item distribution, donor fulfillment, packaging and labeling items, and delivery activities to ensure timely and accurate distribution of auction purchases and donor commitments.

Experience
- Minimum of 3 years

Drivers License Valid
Skills
- Microsoft Office applications (excel, word, outlook, power point, teams) (Required)
- Strong customer service and donor engagement skills (Required)
- Ability to multi-task in a fast-paced environment with demonstrated problem-solving abilities and sound judgement (Required)
- Excellent written and verbal communication skills (Required)
- Ability to work collaboratively with staff, volunteers, donors, and vendors (Required)
- Experience with auction software and databases (Preferred)
- Understanding of auction strategy, bundling, storytelling, and pricing and knowledge of donor stewardship and fundraising best practices (Preferred)
