Plays a key role in supporting the Tribe’s compliance program with a primary focus on grant compliance, grant management system administration, policy support, audit coordination, and regulatory oversight. Working closely with the Compliance Director, program managers, finance, and leadership, this position ensures all grants and related activities meet applicable federal, state, tribal, and organizational requirements. Leads the daily administration of the Tribe’s grant management system, assists departments in addressing audit findings and implementing recommendations, supports HHS and other regulatory compliance needs, and helps monitor organizational policies such as data retention.
Incumbent maintains the annual policy review calendar and assists with reviewing and updating policies, ensuring consistency and accountability across the organization. This role is critical in promoting a culture of accountability, transparency, and continuous improvement and maintains professionalism in all interactions with internal and external customers, honoring and representing the mission, vision, and values of CIT.
- Serve as the lead administrator for grant management system administration, managing user accounts, permissions, workflows, and templates.
- Ensure accuracy and completeness of all grant-related data in the system.
- Develop dashboards and reports for leadership, program managers, and the Compliance Director.
- Train and support staff in using the grant management system for grant applications, reporting, and document management.
- Review grant applications, budgets, and reports for compliance with OMB Uniform Guidance, funding agency requirements, and tribal policies prior to submission.
- Track and monitor grant deliverables, deadlines, and performance measures.
- Coordinate with program managers to ensure all reporting obligations are met on time.
- Assist departments in resolving compliance issues and implementing corrective actions.
- Maintain organized and auditable compliance records for grants, contracts, and related documentation.
- Support internal and external audits by gathering required documents and preparing compliance summaries.
- Ensure timely responses to auditor requests and funding agency reviews.
- Work with departments to address audit findings, implement recommendations, and monitor corrective actions.
- Assist with compliance requirements specific to Health & Human Services (HHS) programs, including documentation, reporting, and regulatory adherence.
- Coordinate with HHS leadership and staff to ensure compliance obligations are met.
- Assist in reviewing, drafting, and updating compliance-related policies and procedures.
- Ensure policies remain current with regulatory changes and best practices.
- Help monitor compliance with organizational standards such as data retention policies to ensure they are created, implemented, and followed consistently.
- Maintain policy documents in the designated policy management system (e.g., PowerDMS).
- Assist in receiving, documenting, and tracking compliance-related complaints, including those from the anonymous reporting line.
- Work with the Compliance Director on investigations and follow-up actions.
- Maintain confidentiality and professionalism when handling sensitive matters.
- Provide training and technical assistance to staff on compliance requirements, grant system use, and grant management processes.
- Develop resource materials and quick reference guides for compliance and grant procedures.
- Promote understanding of compliance requirements across the organization.
- Prepare regular compliance status reports for the Compliance Director, grants team, and leadership.
- Communicate effectively with Finance, Grants, Legal, HHS, and department managers to address compliance needs.
