Position Summary

The People Operations Coordinator provides high-level administrative, coordination, and operational support across hiring, employee relations, and accommodation workflows. This role absorbs time‑intensive, interruption‑driven tasks that accompany organizational growth, allowing senior People Operations staff to focus on decision‑making, regulatory compliance, employee relations strategy, and risk mitigation.

Responsibilities
  • Hiring & Recruitment Operations Support:
    • Coordinate pre‑employment and post‑offer administrative steps including reference checks, background checks, fingerprinting appointments, TB and drug screening scheduling, and onboarding documentation.
    • Serve as primary point of contact for applicants regarding hiring process logistics, timelines, and next steps using approved templates.
    • Maintain accurate tracking of job requisitions, applicant status, screening milestones, and required hiring documentation within the HRIS and related systems.
    • Schedule interviews and interview panels, distribute interview materials, and ensure interview notes are collected and filed.
    • Support internal promotional and leadership hiring processes by coordinating logistics and documentation.
    • Partner closely with the Talent & Acquisition Specialist to ensure hiring workflows move efficiently and consistently across all programs.
  • Employee Relations & Investigation Support:
    • Provide coordination and logistical support for employee relations matters, including scheduling meetings, preparing files, tracking deadlines, and maintaining investigation records.
    • Serve as a secondary People Operations presence during employee interviews when required, under the direction of the Senior Manager of Employee Relations & Development or Director of People Operations.
    • Prepare neutral documentation, summaries, and tracking logs related to employee relations processes, ensuring accuracy and confidentiality.
    • Maintain organized, secure employee relations files in accordance with agency policy and legal requirements.
    • Support timely follow‑up and documentation completion associated with workplace complaints and corrective action processes.
    • This position does not issue findings, determine outcomes, or independently manage employee discipline or investigations.
  • Accommodation & Return-to-Work Coordination:
    • Serve as intake and coordination point for employee accommodation and return‑to‑work requests, ensuring required documentation is collected and securely stored.
    • Schedule and coordinate interactive process meetings and related follow‑ups.
    • Track accommodation timelines, approvals, renewals, and required documentation in collaboration with senior People Operations leadership.
    • Maintain confidentiality and ensure all medical and sensitive documentation is handled in compliance with applicable laws and agency practices.
    • Support consistent communication with employees and supervisors using approved messaging.
  • Systems, Documentation & Compliance Support:
    • Maintain accurate and timely employee records, files, and documentation within the HRIS and document management systems.
    • Support audits, compliance reviews, and reporting requests by organizing required documentation and tracking completion.
    • Assist with the development and refinement of standardized templates, trackers, and workflow tools for People Operations processes.
    • Ensure information sharing aligns with need-to‑know standards and confidentiality expectations.
