Status: Full-Time, 4-Month Temp-to-Perm
Schedule: Monday - Friday, 8:00 AM - 5:00 PM

OverviewAre you an administrative professional with an "eagle eye" for detail and a passion for technical accuracy? We are seeking a highly organized Quality & Calibration Administrator to join a leading industrial laboratory in Longwood.
In this critical role, you will serve as the backbone of our Quality Management System (QMS), bridging the gap between our technical laboratory team and our global customer base. You will ensure that every piece of precision equipment we service is documented with 100% accuracy and compliant with strict ISO/IEC 17025 standards.
Key ResponsibilitiesTechnical Contract Review & Support
- Audit & Verify: Review customer purchase orders and technical specs to ensure all service requirements are clear and achievable before work begins.
- Client Liaison: Act as the primary point of contact for service estimates, repair approvals, and status updates.
- Logistics: Manage incoming equipment verification, safety documentation, and shipping discrepancies.
Precision Documentation & Data Management
- Certificate Generation: Produce high-accuracy calibration certificates, data sheets, and equipment labels in accordance with regulatory requirements.
- Record Keeping: Initiate and maintain calibration records within internal databases, ensuring no detail is overlooked for the technicians.
- Asset Tracking: Monitor the maintenance cycles of internal laboratory measurement tools and equipment.
Quality System (QMS) Compliance
- Compliance Monitoring: Document non-conformances, "out-of-tolerance" findings, and customer feedback.
- Recall Coordination: Lead sensitive equipment recall processes, ensuring high-priority customers (including those in the nuclear and aerospace sectors) are notified promptly.
- Document Control: Maintain and update quality manuals and version-controlled documents.
Procurement & Vendor Management
- Manage the Approved Vendor List (AVL) and coordinate external calibration services.
- Order laboratory consumables and replacement parts to ensure zero downtime for the lab.
- U.S. Citizenship (Mandatory): Due to the nature of our client's contracts with the government which are confidential, candidates must be U.S. Citizens.
- Hyper-Attention to Detail: You must be someone who naturally spots a typo or a missing decimal point at a glance.
- Technical Communication: Professional verbal and written skills are required to translate technical data into clear customer communication.
- Software Proficiency: Advanced data entry skills and high proficiency in Excel and database management.
- Background (Preferred): Prior experience in a metrology lab, calibration department, or an ISO-regulated environment (ISO 9001, 17025, AS9100, etc.) is a major plus.
