- Coordinate all outpatient referrals, intake requests, and scheduling for behavioral health services.
- Serve as the primary point of contact for patients, families, referral sources, physicians, hospitals, and community agencies.
- Ensure timely completion of intake documentation, insurance verification, authorizations, and registration requirements.
- Collaborate with therapists, psychiatrists, nursing staff, and leadership to coordinate patient care and appointment availability.
- Monitor provider schedules to maximize access, productivity, and continuity of care.
- Maintain accurate patient records and ensure documentation complies with organizational, state, federal, and accreditation standards.
- Track referrals, admissions, discharges, waitlists, cancellations, and no-show rates, identifying opportunities for process improvement.
- Assist with patient engagement efforts, including appointment reminders and follow-up communication.
- Coordinate outpatient group schedules, room assignments, and program logistics.
- Prepare reports related to program performance, patient census, referral trends, and quality metrics.
- Participate in interdisciplinary treatment team meetings and departmental quality improvement initiatives.
- Maintain confidentiality and compliance with HIPAA and all applicable regulations.
- Provide exceptional customer service while promoting a welcoming and professional environment for patients and visitors.
- Perform other duties as assigned to support outpatient program operations.
- Must be 21 or older
- Two or more years of experience in healthcare, behavioral health, medical office operations, or care coordination.
- Strong organizational, communication, and customer service skills.
- Experience working with electronic health records (EHR) and Microsoft Office applications.
- Ability to prioritize multiple tasks in a fast-paced healthcare environment.
- Knowledge of HIPAA, patient confidentiality, and healthcare scheduling processes.
