MELE Associates is seeking an exceptional candidate to serve as an Executive Assistant in support of NA-90 senior leadership. The Executive Assistant will support NA-90 with a variety of organizational and administration functions. The candidate will collaborate with NA-90's senior leaders and subject matter experts.
ESSENTIAL FUNCTIONS:
* Participate in leadership and staff meetings to assist with scheduling, planning, action tracking, integration, and communications
* Facilitate the coordination and implementation of directives and policies
* Coordinate and develop briefings and reports
* Coordinate and organize in person and off-site group meetings and conferences
* Gather information and author talking points for NA-90 senior leadership
* Assess, recommend, and help implement organizational process improvements
* Maintain internal tracking log and data for look a-head actions
* Review and summarize technical and programmatic documents
* Lead and support NA-90 organization management actions
* Manage day-to-day logistics, including scheduling and coordination of meetings and briefings
* Collaborate closely with NA-90's leadership team
* Independently synthesize broad direction and background knowledge into presentation products, e.g., briefs and talking points
* Manage daily logistics and scheduling
* Arrange travel, create travel authorizations, and prepare travel vouchers
* Perform administrative functions including preparation of background material binders, scan and maintain records, and transmit documents
* Document meeting minutes/summaries and key actions
* Establish, coordinate, and maintain calendar for principles, working with other Administration element front offices to coordinate amongst principles
* All other duties as assigned MINIMUM QUALIFICATIONS
* College Bachelor's degree
* Experience supporting federal government programs in organization and administrative functions with knowledge or travel, time reporting, and property management functions and systems
* Excellent written and oral communication
* Excellent organizational skills
* Customer service oriented
* Outstanding team player able to work with a diverse group of people stationed in different geographic locations
* Hard worker that shows initiative
* Works well with short turnaround deadlines in fast paced office environment and is adaptable to changing priorities
* Knowledge of all Microsoft Office tools and Adobe Acrobat
* Ability to obtain and maintain a DOE Q security clearance PREFERRED QUALIFICATIONS
* Prior NNSA experience
* Familiarity with NNSA Management and Operations (M&O) model
* Experience with DOE Electronic Document Online Correspondence and Concurrence System (eDOCS)
* Master's degree in political science, economics, or related field
LOCATION:
This is a full-time onsite position in Los Alamos, NM. SALARY:
