Office Administrator/ Coordinator
This position serves as an Administrative Assistant 3 within Business Operations at UNM‑Los Alamos and provides a broad range of advanced administrative, fiscal, and operational support. The role performs and/or oversees a variety of administrative and planning activities requiring specialized knowledge and independent judgment, including budget administration support, records and database management, inventory coordination, and information‑gathering projects, while also coordinating and facilitating meetings, program functions, and special events and potentially assisting in training lower‑graded staff or student employees.
The Administrative Assistant 3 will directly support the Business Operations Director and the Human Resources Administrator 2, ensuring efficient workflow and alignment of departmental priorities. The position also serves as a key point of contact for students by assisting with cashiering functions and responding to questions related to payments and account processes. The role requires strong organizational, communication, and customer service skills, along with the ability to manage multiple priorities while maintaining accuracy, strict confidentiality, and compliance with institutional policies.
Conditionsof Employment
- If this position is assigned to the Athletics Department, either administratively or functionally, compliance with all NCAA rules and regulations is required.
- Employees who provide services or work in patient care or clinical areas are required to be in compliance with the University's influenza vaccination requirement.
- All regular, non‑temporary positions assigned to this classification are represented by a labor union and are subject to the terms and conditions of the US‑UNM Collective Bargaining Agreement.
High school diploma or GED; at least 5 years of experience directly related to the duties and responsibilities specified.
Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year‑for‑year basis.
Preferred Qualifications- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) with the ability to quickly learn and effectively utilize UNM budget, financial, and reporting systems.
- Experience managing multiple priorities, maintaining organized records or databases, and supporting administrative processes in a fast‑paced environment.
- Strong customer service and communication skills, with the ability to interact professionally with students, faculty, staff, and external stakeholders while maintaining confidentiality.
