Responsibilities- Manage daily office operations to ensure an efficient and productive workplace.
- Oversee office supplies, equipment, vendors, and facility maintenance.
- Coordinate office moves, seating arrangements, and workspace planning.
- Maintain office policies, procedures, and operational documentation.
- Manage office budgets and administrative expenses.
- Serve as a resource for employees regarding office procedures and logistics.
- Coordinate onboarding logistics for new hires.
- Assist with employee engagement initiatives, recognition events, and office culture activities.
- Serve as the primary point of contact for building management and service providers.
- Serve as the administrator for E&E Business Unit SharePoint site, managing content updates, document libraries, permissions, and site organization.
- Works independently to support vice president with administrative tasks (sometimes of a confidential nature).
- Keep abreast of key issues, commitments, and priorities of leadership team.
- Perform market research activities.
- Prepare and/or edit corporate documents (e.g., presentations, meeting materials, corporate reports, correspondence, etc.).
- Maintain calendars, including scheduling of meetings and assisting with coordinating local office events.
- Coordinate registrations for conferences and trade shows, including exhibiting and sponsoring.
- Greet clients and guests at front desk.
- Coordinate desk and office space for visiting staff.
- Manage catering orders and food and beverage needs, including stocking breakroom.
- Prepare letters and packages for shipment.
- Independently complete requests as needed, refer appropriate requests to other staff members, forward appropriate requests to appropriate manager.
- Demonstrate judgement and initiative within provided guidelines.
- Coordinate travel arrangements and travel itineraries, including preparation of detailed expense reports.
- Coordinate and organize meetings, conference calls and video conferences, and arrange for conference rooms, and equipment as needed.
- Prepare, collect, review, and distribute meeting agendas.
- Receive, sort, and distribute mail and process incoming and outgoing correspondence.
- Independently anticipate problems and changing priorities, and alert manager as appropriate.
- Schedule appointments based on the manager's commitments and priorities.
- May handle highly sensitive, business proprietary information.
- Draft and proof correspondence and capture meeting notes accurately and concisely.
- Plan and support meetings, briefings, and conferences, including logistics, agendas, background materials, and follow-up action tracking.
- Prepare, edit, and proofread executive-level correspondence, presentations, reports, and briefing materials, ensuring accuracy, clarity, and consistency with organizational and federal standards.
- Performs other tasks as required.
- Must be a U.S. citizen.
- Must be eligible to obtain and maintain a security or clearance badge.
- Associate's degree in English, Communications, Journalism, or Business Administration, or relevant discipline.
- Experience performing administrative tasks for multiple individuals.
- Ability to handle matters expeditiously and proactively, meet deadlines, and follow-through on projects to successful completion and exercise sound judgment and decision-making.
- Bachelor's degree highly desired. At least 5 years of experience performing in a similar function.
- Knowledge of technical vocabularies and terminology common to federal government contracting.
