Veterinary Client Service Representative/Receptionist

Animal Clinic of Los Alamos

Schedule:

This is a part-time position with hours that may vary based on clinic needs, staffing, and patient volume. Candidates should be comfortable working a flexible schedule that may include mornings, afternoons, or full-day shifts.

About You

You are a compassionate, organized Client Service Representative who enjoys helping pets and their people feel welcomed and supported. You thrive in a fast-paced environment while managing client communication, scheduling, check-in and check-out, and accurate patient records.

What You’ll Do:
  • Greet clients and patients with warmth, professionalism, and compassion.
  • Answer multi-line phones, route calls appropriately, and respond to client questions in a timely manner.
  • Schedule, confirm, and manage appointments while supporting efficient patient flow.
  • Check clients in and out, verify information, update medical records, and process invoices and payments accurately.
  • Discuss balances, payment options, and financing resources with professionalism and discretion.
  • Relay client questions, patient concerns, and medical updates to the veterinary team promptly.
  • Maintain accurate client and patient records in the practice management system.
  • Return client calls, monitor voicemail, and support follow-up communication throughout the day.
  • Prepare daily paperwork, organize records, and assist with reminders for wellness exams, vaccines, diagnostics, and follow-up appointments.
  • Keep the reception area clean, organized, and welcoming for clients, patients, and team members.
  • Communicate clearly and professionally with veterinarians, technicians, kennel staff, and hospital leadership.
  • Assist with administrative tasks, special projects, and front office supply inventory.
  • Support coworkers to help ensure smooth daily operations and an excellent client experience.
  • Follow hospital policies, safety procedures, confidentiality standards, and standard operating protocols.
What We’re Looking For:
  • High school diploma or GED preferred.
  • Previous customer service experience required; veterinary, animal care, medical office, or front desk experience preferred.
  • Excellent communication, interpersonal, and client service skills.
  • Strong computer, organizational, and multitasking skills.
  • Ability to stay accurate, calm, and professional in a fast-paced environment.
  • Positive attitude, flexibility, willingness to learn, and reliable attendance and punctuality.
  • Ability to work independently while contributing to a collaborative team environment.
Physical Requirements:

Team members must be able to perform the essential functions of this role, with or without reasonable accommodation. Essential functions may include:

  • Sit, stand, walk, bend, and move throughout the hospital as needed.
  • Lift or carry up to 25 pounds.
  • Use computers, phones, and other office equipment for extended periods.
  • Work comfortably around dogs, cats, and other companion animals.
