Job Summary

The Accountant II reports directly to the Director, College Fiscal Services. This position oversees the financial administration of the De Anza Student Accounts Office and ensures proper accounting, safeguarding, and reporting of all assets and financial transactions for the De Anza Associated Student Government (DASG), Inter Club Council (ICC), club accounts, and Flea Market Program. The role works closely with Fiscal Services, Student Development, the student government, program managers, and staff at both colleges, and ensures compliance with all regulations as well as the accuracy and timeliness of financial reporting.

Primary responsibilities include managing the daily operations of the Student Accounts Office, handling receipt and disbursement of funds, reconciling monthly district transactions, recording journal and budget entries, reviewing purchase requisitions and invoices, and preparing monthly and annual financial statements.

The role collaborates with Blackbaud Customer Support and the District Programmer to resolve accounting software issues, perform updates, and complete year‑end close backups.

The Accountant II attends the DASG Finance and Budget Committee and the DASG Senate meetings as a financial advisor, presents information to club officers at ICC financial orientations, and assists with developing the DASG Budget Book for Board of Trustees review and approval.

Typical Functions
  • Provides professional and technical assistance in the administration of the district’s financial, auditing, and accounting programs.
  • Prepares a variety of financial statements and reports, including monthly, quarterly, fiscal year‑end, state‑mandated, general ledger, and budget reports.
  • Reviews invoices, travel vouchers, reimbursement claims, and other payment requests for accuracy and compliance with contracts, grants, or policies; approves or requests corrections as needed.
  • Prepares journal entries and reconciles general ledger and subsidiary accounts related to student accounts, payroll, benefits, cash receipts, accounts payable, and accounts receivable.
  • Analyzes balance sheet, revenue, and expenditure accounts; reconciles accounts to verify funds; reviews and processes appropriation transfer requests; reconciles bond statements and bank statements.
  • Conducts special studies, reports, legal documents, and management analyses.
  • Records and maintains controls for fixed assets.
  • Monitors grant funds and ensures compliance with governing rules and regulations.
  • Compiles financial records and data for annual audits.
  • Interprets, explains, and applies accounting principles, laws, policies, and regulations affecting financial operations.
  • Assists in preparation and administration of annual budgets, provides revenue and expense projections, and runs budget reports.
  • Attends meetings, workshops, training sessions, and reviews publications to stay current on accounting principles.

  • Generally Accepted Accounting Principles and Generally Accepted Auditing Standards.
  • Governmental and public higher education accounting and financing.
  • Specialized accounting for employee benefits, construction, capital projects, grant accounting, tax laws, non‑profit practices, and federal compliance guidelines.
  • District accounting policies, Budget & Accounting Manual, and relevant sections of the State Chancellor’s Office regulations and California Education Code.
  • Public contract administration.
