Opportunity
Billing Specialist position located in New York, Los Angeles, Boston, Tampa, San Diego, or Orange County. The role processes a large volume of bills monthly, ensuring accuracy and timeliness in accordance with billing professional instructions and client guidelines.
Essential Job Functions- Accurately and timely process a high volume of bills each month, including complex bills such as split party billing, flat‑fee arrangements, and multiple discounts for client‑level invoices.
- Familiarize with special fee arrangements and serve as a resource to billing professionals on implementation.
- Monitor select matter billings against budgets, alerting of potential overages or deficits.
- Create and maintain accurate billing instructions for clients and billing professionals.
- Review client and matter setups for accuracy and consistency.
- Edit pre‑bills in compliance with billing guidance.
- Submit invoices electronically, monitor and promptly resolve reductions and appeals.
- Communicate effectively with billing professionals, assistants, and clients to resolve billing issues and ensure timely mailing.
- Escalate issues to the Billing Supervisor with clear articulation of the problem and suggested solutions.
- Offer suggestions to the Billing Supervisor on process changes to address recurring issues.
- Explain firm billing policies, including write‑offs and carry‑forwards, to billing professionals and assistants.
- Monitor write‑offs and carry‑forwards, alerting the Billing Supervisor of problems.
- Coordinate with Accounts Payable to capture all costs, including out‑of‑cycle invoices such as closing events.
- Troubleshoot with Collections to resolve payment issues.
- Create billing schedules, bill and payment analyses as required.
- Assist with special billing projects as needed.
- Minimum two years of legal billing experience.
- Bachelor's degree strongly preferred.
- Knowledge of Aderant billing system and e‑billing required.
- Self‑starter who provides excellent client service and quickly grasps processes.
- Strong organizational skills to prioritize and meet deadlines.
- Active listening skills and systematic problem‑solving approach.
- Ability to adapt to different work styles and changing circumstances while adhering to firm policies and billing guidelines.
- Effective verbal and written communication at all organizational levels.
- Ability to work under pressure and independently or as part of a team.
- Solid basic math skills and proficiency with Word and Excel.
- Excellent spelling, grammar, and attention to detail.
Base annual pay range: $75,000 – $95,000, dependent on skills, qualifications, experience, and location. A full range of medical, financial, and other benefits will also be offered.
