Position Summary

The Accountant is responsible for supporting the financial administration, monitoring, and compliance of the organization's grant and contract-funded programs. This position combines accounting and financial management responsibilities with program monitoring to ensure that expenditures, program activities, supporting documentation, and reporting are accurate, timely, and in compliance with organizational policies, funding requirements, and applicable federal, state, county, and city regulations.

Duties and Responsibilities
  • Supports the day-to-day accounting and financial administration of government grant- and contract-funded programs.
  • Monitors assigned grants and government contracts to ensure compliance with contractual, programmatic, financial, and reporting requirements.
  • Reviews financial transactions and supporting documentation for accuracy, completeness, allowability, and compliance with applicable funding requirements.
  • Reviews grant and contract terms, scopes of work, budgets, deliverables, performance requirements, and reporting deadlines.
  • Monitors program budgets, expenditures, revenues, and variances and communicates significant issues to management.
  • Follows up on corrective actions and monitors resolution of identified findings or areas of concern.
  • Assists with preparation for funder, government, internal, and external monitoring visits and audits.
  • Provides technical assistance and guidance to program staff regarding budgets, allowable costs, documentation, reporting requirements, and contract compliance.
  • Maintains tracking systems for contract deliverables, reporting deadlines, budgets, expenditures, and monitoring activities.
  • Works with program staff to monitor progress toward contractual goals, deliverables, performance measures, and outcomes.
  • Assists with accounts payable, accounts receivable, journal entries, reconciliations, invoicing, and other accounting functions as assigned.
  • Prepares and maintains financial schedules, budget-to-actual reports, expenditure reports, and other financial analyses.
  • Assists with the preparation and submission of invoices and reimbursement requests to government agencies, foundations, and other funding sources.
  • Tracks expenditures against approved budgets and funding periods and identifies potential under spending, overspending, or unallowable costs.
  • Assists program managers with budget development, forecasting, budget modifications, and financial planning.
  • Maintains accurate and organized financial records and supporting documentation in accordance with organizational and funding requirements.
  • Supports month-end, year-end, and fiscal year close activities as assigned.
  • Assists with preparation of required financial and program reports for government agencies, foundations, and other funders.
  • Supports internal controls and helps identify opportunities to strengthen financial and program compliance.
  • Maintains confidentiality and safeguards sensitive financial, personnel, client, and organizational information.
  • Cooperates with internal and external auditors and provides requested documentation in a timely manner.
  • Assists with responding to audit findings and implementing corrective actions, as appropriate.
