Who We’re Looking For:
Therabody is seeking an enthusiastic and detail-oriented Office Coordinator. In this role, the Office Coordinator will act as a gatekeeper for the office and serve as the first point of contact for visitors and candidates. This position is responsible for ensuring the smooth and professional operation of the Therabody office environment for both internal employees and external visitors. You will be supporting a fast-paced, diverse organization that is passionate about its work.
This is a full-time, on-site position based in our Los Angeles HQ, Monday through Friday.
Key Responsibilities:- Serve as the primary point of contact for the office by welcoming visitors and responding to inquiries in a professional manner
- Coordinate daily office operations to ensure an efficient and well-organized workplace
- Manage office supplies, equipment, vendors, and service contracts
- Provide administrative support to the Human Resources, Finance, and Leadership teams as needed
- Process invoices, expense reports, and perform routine data entry and recordkeeping
- Maintain overall office functionality, including keeping the kitchen stocked and the workspace organized and tidy
- Coordinate with building security if needed, to ensure all guests are cleared in the system for their scheduled meetings
- Schedule meetings, reserve conference rooms, and coordinate logistics as needed (catering, AV, materials)
- Collect and distribute mail to appropriate parties
- Manage the intake and routing of physical payments in coordination with established accounts receivable processes.
- Maintain office calendars, policies, and internal HQ communications
- Ensure compliance with office health, safety, and regulatory standards
Qualifications:
- Minimum of two (2) years of experience in an office coordination or administrative role
- Demonstrated ability to collaborate effectively with cross-functional teams
- Strong organizational, time-management, and multitasking skills in a fast-paced environment
- Excellent attention to detail and professionalism
- Service-oriented mindset with strong interpersonal communication skills
- Ability to meet physical requirements of the role, including standing, walking, and lifting or moving objects as required
- Proven reliability, punctuality, and dependability
