Purpose Statement /

Position Summary:

The Sr. Administrative Coordinator is responsible for providing administrative oversight for a broad range of assignments specific to department and/or division needs. May perform administrative duties for the department using discretion, interpretation, critical thinking and independent judgment. Activities include presentation creation, meeting scheduling, invoice and expense monitoring and processing, assisting in projects at direction of management. Serves as the point of contact for department information and reports.

Provides recommendations for process improvement and quality assurance programs.

Position Is Responsible For
  • Providing high‑level administrative and strategic support to Division Chief, anticipating needs and removing roadblocks before they arise.
  • Planning, organizing, and managing multiple calendars across global time zones with discretion, accuracy, and a dedication to confidentiality.
  • Organizing and managing key meetings, events, and team experiences — from off‑sites and celebrations to planning sessions.
  • Managing domestic and international travel, optimizing itineraries and vendor negotiations to ensure efficiency and cost‑effectiveness.
  • Preparing and reconciling expense reports, purchase requisitions, and related financial documentation.
  • Developing and maintaining meeting agendas, team rhythms, and internal communications, fostering alignment across the organization.
  • Taking detailed meeting minutes, track actions, and follow up to ensure execution on commitments.
  • Curating and managing presentation and communication content that supports executive storytelling and collaborator engagement.
  • Leading or supporting special projects that advance organizational effectiveness or innovation.
  • Collaborating closely with other administrative partners to ensure seamless operations across Divisions.
Minimum Qualifications / Work Experience

4+ year’s administrative coordination experience in healthcare environment required. Office management experience preferred and database management experience required. 5+ years of experience supporting Medical Directors, Division Chiefs, C‑Suite level preferred.

Education / Licensure / Certification

Bachelor’s degree or relevant experience in lieu of degree.

Pay Scale Information

$64,501.00 – $. CHLA values the contribution each Team Member brings to our organization. Final determination of a successful candidate’s starting pay will vary based on a number of factors, including, but not limited to education and experience within the job or the industry. The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description.
