Office Administrator/ Coordinator, Executive Admin/ Personal Assistant
KDG Construction Consulting is seeking a detail-oriented Administrative Assistant to join their growing field team on a large construction program. The Administrative Assistant will provide word processing, data collection, and administrative support to a large project team supporting an aviation program in Los Angeles.
Duties and Responsibilities- Responsible for entering in detailed information into Microsoft Share Point
- Work heavily within MS Outlook, MS Sharepoint and MS Excel to coordinate and process numerous access and construction-related requests across a large aviation program
- Working as part of a team responsible for maintaining a continuous flow of construction-related requests through the review and approval process
- Maintaining document tracking Logs, status logs and master calendar on SharePoint site with several critical users and stakeholders
- Responsible for checking work entered in to ensure accuracy
- Maintaining and updating all documentation associated with the construction-related requests through the review and final approval process
- Sending out approval notifications, documenting and closing out requests
- Following up on the status of work performed and contractor activity, as needed
- Work extensively with MS Outlook and Share Point
- Must communicate effectively with Contractors, Project Managers, Technical Groups and other Stakeholders throughout the process using email/phone
- Performing other related tasks, as needed
- 5 –7 years of relevant document processing, project coordination, and/or administrative project support within a construction project environment
- Advanced proficiency with Microsoft Office Suite software - Word, Excel, PowerPoint, and Outlook
- Strong knowledge of working within MS Share Point
- Previous experience in construction administration, document processing, and/or providing coordination support to large teams is preferred
- Excellent organization skills and strong attention to detail
- Excellent oral and written communication skills
- Demonstrated ability to multi-task and prioritize assignments under pressure in a fast-paced environment
- Demonstrated ability to stay calm under pressure and prioritize work with evolving timelines
- Ability to work in a team environment and/or work independently, as required
- Basic knowledge of construction terminology and processes is highly desirable
$49,000-$54,000/annually
