Administrative Assistant – Studio Affairs Legal

Location:

Los Angeles (3 days in office Tuesday through Thursday)

Responsibilities
  • Maintain calendars for 2-4 executives and align with their direct reports, including scheduling internal and external meetings and booking various events.
  • Assist team members with calendaring as needed.
  • Process expenses and expense reports.
  • Prepare presentation decks, memos, and executive‑level documents.
  • Coordinate travel arrangements, domestically and internationally.
  • Plan team and cross‑functional offsites, coordinating hotels, vendors for lodging, catering, flights, A/V, and transport.
  • Assist with onboarding new hires for this team.
  • Coordinate cross‑functional projects and initiatives, from scheduling and preparing working groups to tracking action items and deadlines.
  • Support internal and external meeting and stakeholder management, including agendas, pre‑reads, documentation, and follow‑through.
  • Coordinate with external partners and vendors on scheduling, document exchange, and follow‑ups tied to team priorities.
  • Other administrative tasks as assigned.
Qualifications
  • 5+ years as an executive/administrative assistant.
  • Experience working within the legal space with discretion and confidentiality.
  • Experience coordinating projects or programs, tracking action items, timelines, and deliverables across multiple stakeholders.
  • Proficiency in Google Workspace (Gmail, GCalendar, Docs, Groups); proficiency in MS Word/Excel.
  • Strong written and verbal communication skills.
  • Ability to build relationships and navigate cross‑functional teams.
  • Exceptional attention to detail and initiative.
  • Understanding of multitasking, prioritization, and response in a fast‑paced environment.
  • Team player who thrives in a fast‑paced, team‑oriented setting.
  • Event organization experience.
  • Comfort working with external partners and vendors, managing communications, and following‑through professionally.
Compensation

Annual salary range: $38,460 – $71,390.
