Location: Los Angeles, CA In the Culver City area
We are seeking a compassionate and detail-oriented Admissions Coordinator who will be responsible for guiding prospective residents and their families through the admissions process from first inquiry to move-in. This role manages tours, applications, and required documentation, and works closely with clinical and administrative staff to ensure a smooth, welcoming transition into the community. The Admissions Coordinator serves as a liaison between the facility, prospective residents, families, referral sources, and the broader community, working to effectively communicate the mission, services, and values of the organization.
What You’ll Do:- Manage the day-to-day admissions process to support and sustain full occupancy.
- Coordinate and lead tours, open houses, and informational sessions for prospective residents and families.
- Serve as the primary point of contact for prospective residents and families throughout the admissions process, from initial inquiry through move-in.
- Collect, review, and process all admissions paperwork, including applications, assessments, and required consents, ensuring completeness and accuracy.
- Maintain accurate applicant and resident records in the CRM or database system; follow up with inquiries in a timely and professional manner.
- Coordinate with nursing, care, and administrative staff to confirm level-of-care needs, availability, and readiness prior to admission.
- Review each prospective resident's health and care needs against Title 22 admission and exclusion criteria to determine whether the individual qualifies for admission to the facility's level of care.
- Coordinate move-in logistics and provide a warm, well-organized onboarding experience for new residents and their families.
- Build and maintain strong working relationships with hospitals, senior centers, discharge planners, case managers, and other referral sources.
- Verify insurance, payment sources, and financial documentation as part of the admissions review.
- Ensure compliance with all applicable state and federal admissions regulations and organizational policies.
- Maintain organized, up-to-date admissions files in accordance with regulatory and privacy requirements.
- Participate in weekly census and management meetings to provide updates on pending admissions and occupancy.
- Respond to inquiries and issues from families and prospects with professionalism and care.
- Bachelor’s degree in Healthcare Administration, Business Administration, Social Work, or related field preferred.
- Minimum of two (2) years of experience in admissions, intake, case management, or a related role in senior living or healthcare.
- Demonstrated experience with California Title 22 requirements for Residential Care Facilities for the Elderly, including admission agreements, resident appraisals, and criteria for determining resident eligibility for care.
- Must pass DOJ and FBI background checks via Live-Scan.
- Must be in good physical and mental health, verified by a physician within six (6) months prior to or seven (7) days following employment.
- TB clearance and current Adult First Aid certification required.
- Valid driver’s license and reliable transportation for occasional community outreach.
- Strong knowledge of senior living services, including assisted living and memory care.
- Working knowledge of California Title 22 regulations governing Residential Care Facilities for the Elderly (RCFE), including appraisal, admission, and exclusion criteria used to determine whether a prospective resident's care needs can be safely met by the facility.
- Excellent interpersonal, written, and verbal communication skills.
- Proficiency in using CRM or database systems, and standard office software for documentation and recordkeeping.
