The Office Manager is responsible for overseeing the daily administrative operations of the corporate office, ensuring efficiency, organization, and a professional work environment. This role supports executive leadership, corporate departments, and regional teams by managing office functions, coordinating vendors, maintaining office resources, and fostering a positive workplace culture. The ideal candidate is highly organized, proactive, detail-oriented, and capable of managing multiple priorities in a fast-paced property management environment.

Primary Job Functions
  • Direct daily corporate office operations by managing incoming calls, mail services, office logistics, and administrative processes to support organizational effectiveness
  • Support all Department Heads, Executives, and Regional Manager Team
  • Establish and maintain office procedures, systems, and workflow processes
  • Ensure the corporate office environment is professional, organized, and fully operational at all times
  • Serve as the primary point of contact for office-related matters, vendors, and internal teams
  • Coordinate corporate meetings, leadership calendars, and office-wide communications
  • Support onboarding logistics, employee records coordination, and internal team needs
  • Promote effective communication between corporate office and onsite property teams
  • Manage vendor relationships, service contracts, and office-related projects
  • Oversee office budget, track expenses, and support invoice processing and approvals
  • Assist with coordination of property management administrative processes, documentation, and reporting
  • Support RFP coordination, bid tracking, and vendor communication as needed
  • Help plan and coordinate company events, training, and corporate initiatives
  • Maintain records, reports, and documentation related to office operations and administrative functions
  • Identify and implement process improvements to enhance efficiency and productivity
  • Prepare periodic operational and administrative reports
  • Other tasks and responsibilities may be assigned as needed
Qualifications
  • Regular and physical attendance is required
  • Desire to deliver an exceptional employee, vendor, and leadership support experience in a fast-paced environment
  • Strong leadership, organizational, and problem‑solving skills
  • Ability to manage multiple priorities, deadlines, and competing requests
  • Excellent communication and interpersonal skills
  • High level of professionalism and discretion
  • Strong attention to detail and operational execution
  • Ability to work independently and proactively
  • Bachelor’s degree in business administration or related field preferred but not required
  • 3–5+ years of office management or administrative leadership experience (property management preferred)
  • High level of competency in Microsoft applications including Word, Outlook, PowerPoint, and Excel, and Canva
  • Experience with property management software (e.g., Yardi) a plus
Physical Requirements
  • Ability to remain in a stationary position for extended periods of time
  • Constantly using computer and other office productivity equipment
  • Occasionally lift/move/carry up to 25 lbs with/without assistance
  • Frequently lift/move/carry up to 5 lbs
  • Constantly communicating and exchanging information with employees, vendors, and visitors
  • Ability to observe details at close range
  • Constantly work in low to moderate noise
