A boutique CPA firm is seeking an experienced Tax Administrative Assistant to support its accounting professionals and help coordinate day-to-day tax administration. This role is ideal for a highly organized administrative professional who understands the workflow, terminology, and deadlines of a CPA firm.
The successful candidate will provide general administrative support while helping manage tax documents, client communications, deadlines, and electronic filing processes. This is a hybrid position requiring three days per week in the Woodland Hills office.
Key Responsibilities- Provide administrative support to partners and accounting professionals
- Coordinate the collection, organization, and tracking of client tax documents
- Prepare, assemble, and process tax returns for delivery and electronic filing
- Monitor tax deadlines, filing statuses, extensions, and outstanding information
- Maintain accurate client records in the firm’s document-management and workflow systems
- Communicate with clients regarding documents, signatures, deadlines, and general administrative matters
- Schedule appointments and manage calendars, correspondence, and follow-up items
- Draft and format letters, reports, engagement documents, and other client materials
- Scan, upload, organize, and securely maintain confidential financial documents
- Assist with billing, data entry, and other general office responsibilities
- Support special projects and help improve administrative processes
- Provide additional assistance during periods of increased tax activity
- Previous administrative experience in a CPA firm, tax practice, or public accounting environment
- Familiarity with tax return processing and standard tax administration workflows
- Strong organizational and time-management skills
- Exceptional attention to detail and commitment to accuracy
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and follow through on deadlines
- Strong client-service skills and a professional, approachable demeanor
- Proficiency with Microsoft Office, including Word, Excel, and Outlook
- Comfortable learning tax, workflow, and document management software
- Ability to handle sensitive and confidential information with discretion
- Collaborative, dependable, and willing to assist wherever needed

Hybrid, with three days per week required in the office - Compensation:
Up to $90,000 annually (DOE)
