Under the direction of the Director, Provider Network Operations (PNO), the Executive Assistant provides administrative, project coordination, and operational support to the Director and PNO leadership team. This role manages calendars, communications, meeting coordination, reporting support, and special projects while serving as a key liaison between internal and external stakeholders. The Executive Assistant helps ensure efficient department operations through strong organization, follow-through, and attention to detail.
Duties and Responsibilities:- Manage the Director's calendar, scheduling priorities, meetings, travel arrangements, and daily administrative activities.
- Review, prioritize, and track emails, communications, and action items requiring leadership attention.
- Coordinate meetings, agendas, materials, minutes, action items, and follow-up activities.
- Draft, proofread, and distribute correspondence, reports, presentations, and departmental communications.
- Prepare executive summaries, dashboards, reports, and leadership presentation materials.
- Track departmental initiatives, projects, and action items to support timely completion.
- Serve as a liaison between PNO leadership, health plans, IPAs, providers, vendors, and internal departments.
- Coordinate onboarding activities, department meetings, training sessions, and special events.
- Serve as the primary on-site administrative resource for PNO.
- Manage incoming and outgoing mail, certified mail, packages, and courier deliveries.
- Process and coordinate provider termination notices, adverse action letters, regulatory correspondence, and other time-sensitive mailings.
- Maintain mailing logs, delivery confirmations, departmental files, records, and administrative documentation.
- Coordinate post office visits, office supplies, equipment requests, expense processing, and other administrative functions.
- Support document preparation, printing, scanning, filing, and distribution activities.
- Maintain confidentiality of sensitive business, personnel, and HIPAA-protected information.
- Perform other duties and special projects as assigned.
- Associate's or Bachelor's degree preferred.
- Three (3) years of executive, administrative, office management, or project coordination experience.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
- Healthcare, managed care, provider network, or health plan experience preferred.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong attention to detail, accuracy, and follow-through.
- Ability to prioritize competing deadlines and work independently.
- Professional demeanor with strong customer service and interpersonal skills.
