Why this role matters

Patients often need help connecting the pieces of a visit: appointments, records, calls, referrals, paperwork, and follow‑up. A strong coordinator helps prevent dropped details and gives the office a more reliable rhythm.

What you will do
  • Answer calls, organize messages, and route patient requests to the right team member.
  • Support appointment scheduling, confirmations, reminders, and follow‑up tasks.
  • Help organize referrals, forms, incoming records, outgoing records, and patient documentation.
  • Track open office tasks so patients and staff are not left guessing about next steps.
  • Coordinate between front desk, medical assistants, providers, and administrative leadership.
  • Assist with scanning, filing, supplies, intake packets, and general office workflow.
  • Use respectful communication with older adults, caregivers, families, and clinical staff.
A strong day in this role looks like

  • Messages are clear enough for the clinical team to respond without chasing details.
  • Referrals and forms are organized and easy to find.
  • The front office feels calmer because small issues are handled before they become bigger ones.
Required qualifications
  • Medical office, patient coordination, front desk, administrative, or customer‑service experience preferred.
  • Strong organization, follow‑through, and written communication.
  • Comfort with computers, phones, email, documents, and EHR or office systems.
  • Ability to handle sensitive information with professionalism and discretion.
Preferred strengths
  • Experience with referrals, authorizations, records, or healthcare scheduling.
  • Bilingual language skills helpful.
  • Comfort helping older adults, caregivers, and families navigate practical next steps.
Skills that help you stand out

Helpful skills include patient coordination, referral tracking, scheduling, records organization, phone communication, EHR use, and careful follow‑up.
