Job DetailsAs a Consulting Executive Assistant in the healthcare industry, you will be playing a key role in supporting multiple senior leaders at UCLA Health, one of the nation's leading academic health systems. This role is a dual-function position, serving as both an Executive Assistant and Office Manager. It requires exceptional administrative skills, discretion, and the ability to manage competing priorities in a fast-paced environment.
This role is a 28-week assignment, with a typical work schedule of Monday through Friday, 8 am to 5 pm.
As an Executive Assistant, you will provide direct administrative support to multiple senior leaders. This includes managing calendars, scheduling meetings, coordinating travel logistics, and drafting correspondence. You will also be responsible for tracking project deadlines and handling confidential information with discretion and professionalism.
As an Office Manager, you will oversee day-to-day office operations, manage vendor relationships, and ensure compliance with institutional policies and safety regulations. You will also be responsible for space planning, managing office inventory, and coordinating team meetings and events.
QualificationsThe ideal candidate will have 7-10 years of experience providing executive-level administrative support, preferably in a healthcare, academic, or marketing environment. You should have excellent communication skills, strong organizational abilities, and a keen attention to detail. Proficiency in Microsoft Office Suite and virtual meeting platforms is required.
You should also have at least 3 years of office or facilities management experience in a mid-to-large organization, with a proven ability to manage logistics and operations effectively. Familiarity with office procurement processes, vendor management, and experience coordinating on-site and virtual events is also necessary.
Preferred qualifications include a Bachelor's degree in Business Administration, Communications, or a related field, and experience in an academic medical center or health system setting. Familiarity with project management tools and platforms is also a plus.
This role requires a candidate who can demonstrate the ability to interact effectively with persons of all cultures and positions, including physicians, UCLA executives, directors, and managers. You should be able to prioritize assignments and achieve high productivity and quality under rigid deadlines in an environment with frequent workload changes, competing demands, and interruptions.
