We are looking for a highly organized and detail-oriented Talent Administrative Assistant to support our Talent team across our festival portfolio. This role will provide administrative, financial, travel, and operational support in a fast-paced environment.

Key Responsibilities
  • Provide day-to-day administrative support to the Talent team across all festivals.
  • Manage calendars, scheduling, meetings, and internal coordination for the Talent team.
  • Assist with preparing, tracking, and organizing artist offers, revisions, and booking information across a high volume of talent.
  • Manage artist guest lists, credentials, and related festival access needs.
  • Coordinate with Marketing on artist-related initiatives, deliverables, assets, announcements, and deadlines, ensuring projects stay on track from start to finish.
  • Coordinate with Production on artist-related administrative and logistical needs, ensuring information and deadlines are communicated across teams.
  • Identify gaps, anticipate needs, and take ownership of projects from start to finish rather than waiting for direction.
  • Manage Talent-related expenses, invoices, and coding in Ramp, partnering with Finance to ensure timely processing and resolution.
  • Prepare meeting materials, take notes, track action items, and follow up on outstanding items.
  • Proactively anticipate administrative needs, solve problems, and keep the team organized with limited direction.
Qualifications
  • 4-7 years of administrative, entertainment, music, events, or related experience preferred.
  • Comfortable working in a very fast-paced, high-pressure environment where priorities can change quickly.
  • Resourceful and confident navigating ambiguity, solving problems, and tracking down answers independently.
  • Highly organized with strong attention to detail.
  • Excellent communication and follow-through.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Comfortable working with financial information and administrative systems.
  • Proficiency with Excel/Google Sheets and Microsoft Office/Google Workspace.
  • Experience with Ramp, Airtable, or similar systems is a plus.
  • Interest in live music and the festival industry.

The estimated salary range for this position is DOE and includes medical/dental/vision/401k benefits. This represents the typical salary range for this position and is just one component of DWP's total compensation package for employees.
