We are seeking an experienced Office Operations Manager to support the Firm's facilities and office administration functions across its nationwide offices. Reporting to the Office Administration Director, this position plays a key role in coordinating and managing office facilities, office services, office events, vendor relationships, space planning, office relocations and other operational initiatives across the Firm.
This role serves as an operational partner to the Office Administration Director, helping support the increasing demands associated with the Firm's growth, new office openings, office build-outs, relocations and other facilities-related projects.
While based in Los Angeles, the position supports all Firm offices and regularly collaborates with Office Administrative Partners, property management teams, vendors, a team of Office Administrative Assistants and members of the Administrative Management Team nationwide.
The ideal candidate is a hands-on facilities and office administration professional with strong project management skills who can coordinate multiple operational priorities, promptly address facilities and office-related issues and maintain professional, safe, efficient and well-functioning offices.
The salary range for the position of Office Operations Manager at Nossaman is $135,000 to $155,000 annually. The successful candidate’s salary for this position is reasonably expected to be set within this range. However, actual compensation will depend on a variety of factors, including, without limitation, the candidate’s qualifications and experience.
Key Responsibilities- Manage day-to-day facilities operations and office administration functions, including maintenance, repairs, janitorial services, HVAC, security, access control, conference room operations and life-safety matters
- Serve as a point of contact for facilities vendors, property management teams, Office Administrative Assistants and Office Services personnel, helping address operational and facilities-related issues as they arise
- Conduct routine office inspections and follow through on maintenance, safety, office appearance and business continuity concerns
- Assist with office moves, furniture installations, inventory management, office assignments, space planning and occupancy needs
- Support office openings, relocations, expansions, consolidations and office closures under the direction of the Office Administration Director
- Manage vendor access, project schedules, work orders, estimates, certificates of insurance and completion of contracted work
- Monitor vendor performance and service levels, assist with office services and hospitality programs and identify opportunities to improve service quality, consistency and operational efficiency
- Maintain facilities and office administration records, including floor plans, inventories, vendor agreements, warranties, access information, emergency preparedness documentation and office project files
- Review facilities invoices for accuracy, assist with budgeting and cost-control initiatives, prepare project updates and operational reports and monitor facilities-related expenditures
- Coordinate with the IT Department, Office Administrative Assistants and other administrative departments on office projects, office events and operational initiatives
- 5+ years of experience in facilities management, office administration, or a related field
- Experience managing office relocations, build-outs, renovations, or multi-location operations
- Strong project management and organizational skills
- Experience working with budgets, vendors and service contracts
- Ability to manage multiple priorities and projects simultaneously and respond to time-sensitive facilities matters outside regular business hours when necessary
- Excellent interpersonal, communication and problem-solving skills
- Ability to perform physical activities associated with facilities inspections and office projects
- Demonstrated ability to assess situations, make informed decisions and exercise sound judgment when addressing operational issues
- Willingness to travel as needed to other Firm offices
