Senior Sourcing and Experience Representative

Job OverviewSurf On Demand is seeking a detail-oriented and proactive Senior Sourcing and Experience Representative to manage the day-to-day operational needs of our on-demand charter services. This role will focus on sourcing aircraft, negotiating rates, booking charters, and ensuring seamless coordination of flights. You will also support the sales team, manage relationships with operators and brokers, and ensure operational excellence throughout the client journey.
This is a senior position with the team with elevated responsibilities, workload requirements and some leadership responsibilities.
- Source and negotiate rates with third-party On Demand Charter operators to secure aircraft for existing members.
- Book aircraft for trips, ensuring timely and efficient coordination with operators to meet member needs.
- Quote trips for members on Surf On Demand’s preferred fleet and our flagship Pilatus PC-12, as well as for wholesale broker channels.
- Maintain the accuracy of the internal flight management system, including trip creation, management, and post-flight documentation.
- Handle all pre- and post-flight tasks, ensuring every trip is thoroughly prepared, tracked, and evaluated for client satisfaction.
- Track flight movements to ensure all trips proceed as scheduled and all trip details are up to date.
- Provide operational support to the sales team by assisting with trip quoting and aircraft booking.
- Identify upsell opportunities across both operations and sales, ensuring clients receive the best possible service and value.
- Assist with updating Surf On Demand’s internal databases of aircraft, operators, and airports.
- Manage the day-to-day operations and scheduling of the preferred partner fleet, ensuring availability and optimal usage.
- Develop and maintain a strong broker/operator pipeline, managing the wholesale channel to increase business and maintain relationships.
- Oversee the quoting and coordination for trips booked through wholesale channels.
- Maintain ongoing pre- and post-flight communication with operators to ensure all client expectations are met and service levels are maintained.
- Act as a point of contact for operators, brokers, and other key stakeholders during flight coordination.
- Handle ad-hoc tasks related to updating internal systems and databases as needed, ensuring Surf On Demand remains efficient and up-to-date with current industry standards.
- Participate in special projects or initiatives to improve operational processes or enhance customer experiences.
- Experience in flight operations, aircraft chartering, or a related field within the aviation or private travel industry.
- Strong negotiation skills with the ability to secure competitive rates with third-party operators.
- Detail-oriented with excellent organizational skills and the ability to manage multiple tasks and projects simultaneously.
- Knowledge of flight tracking systems and internal trip management software is preferred.
- Strong communication and relationship management skills for dealing with operators, brokers, and clients.
- Ability to identify upsell opportunities and collaborate effectively with the sales team.
- Bachelor’s degree in Aviation, Business, Operations Management, or a related field.
