Job Summary

The on-site Senior Construction Administrator will be responsible for construction administration and bidding of a medium to large size projects through construction. Located on the construction project site in the construction site trailer. Responsible for responding to questions and processing documents as required in construction. Has client contact and authority to direct, control, and monitor all project activities during construction under direction of Senior Construction Administrator, Project Manager, or PIC.

This position is located in HMC’s Los Angeles, California office. The position requires 3 days in the office and the ability to work from home Mondays and Fridays.

Responsibilities
  • Communicate effectively and professionally with clients, team members, consultants, and agencies.
  • Seek clarification on assignments when needed and maintain proactive communication on project status.
  • Utilize HMC equipment, software, and follow established procedures, standards, and protocols.
  • Coordinate with internal teams and external consultants to resolve conflicts and discrepancies.
  • Establish and maintain productive working relationships with clients, consultants, and government agencies.
  • Make sound, timely decisions and involve appropriate stakeholders in the decision-making process.
  • Collaborate with staff to achieve project goals and objectives.
  • Coach, mentor, and provide constructive feedback to assigned team members.
  • Prepare and deliver clear verbal and written instructions to office support staff, consultants, and vendors.
  • Support construction administration by reviewing submittals, shop drawings, RFIs, and preparing instruction bulletins.
  • Draft and maintain accurate documentation, including meeting minutes, field reports, change orders, and professional correspondence.
  • Track and resolve project issues promptly, informing supervisors and clients as needed.
  • Write proposals, negotiate consultant fees, and review agreements with supervisors and clients.
  • Oversee staff performance, assist with evaluations, and address performance issues appropriately.
  • Plan and prioritize work activities, estimate task hours, and complete assignments within budget.
  • Manage project budgets, staffing, billing, and ensure compliance with contractual agreements.
  • Monitor aged accounts payable and assist supervisors in collections.
  • Prepare action plans to resolve project-related problems and maintain risk management practices.
  • Participate in design charrettes and ensure design intent is maintained during construction phases.
  • Promote design quality and collaboration across project teams.
  • Assist with plan checks and ensure coordination of drawings and specifications with consultants.
  • Apply building codes and accessibility standards; review documents for quality, coordination, and constructability.
  • Conduct cost estimates, value analysis, and review pay requests and change orders for accuracy.
  • Perform thorough field observations, document non-compliance issues, and manage project closeout activities.
  • Maintain familiarity with construction practices, testing, inspection requirements, and CPM scheduling.
  • Provide feedback to senior technical staff to improve construction details, specifications, and cost trends.
  • Ensure compliance with building codes and regulations during reviews and field observations.

  • College degree or High School Diploma with equivalent demonstrated proficiency and minimum two (2) years college related courses preferred.
