Job Summary

The Project Coordinator (PC) supports project management team members in the planning, documentation, and execution of mechanical, electrical, and plumbing (MEP) service projects. This role ensures the timely flow of information between the field, office, vendors, and clients - supporting operational efficiency, cost control, and quality delivery across all active projects and ensure client satisfaction.

Key Responsibilities Include:

  • Assist Project Managers and Service team members in coordinating day-to-day project activities and schedules.
  • Prepare, track, and manage project documentation including customer communications, coordinated sub-contractors, working with procurement re: material delivery, RFIs, submittals, meeting minutes, and change orders.
  • Maintain accurate and organized project files within company systems (e.g., Procore, Bluebeam, Spectrum, etc.).
  • Support project cost tracking, invoice processing, and purchase order management.
  • Monitor material orders and delivery schedules in coordination with procurement and field teams.
  • Facilitate internal and external communication between field operations, subcontractors, and clients.
  • Prepare project status reports and distribute weekly updates to leadership as required.
  • Assist with job closeout documentation, warranty tracking, and project archiving.
  • Partner with Payroll and HRIS teams as needed for project-specific labor or timekeeping reconciliations.
  • Ensure adherence to company safety, quality, and compliance standards.
Qualifications
  • Technical

    Skills:

    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Teams).
    • Experience using construction management software (Procore, Bluebeam, Spectrum or similar).
    • Familiarity with reading and understanding construction drawings and specifications.
  • Strong organizational skills with the ability to manage multiple projects and deadlines.
  • Clear, professional written and verbal communication with internal teams, clients, and vendors.
  • High attention to detail and accuracy in documentation and data entry.
  • Proactive, team-oriented problem solver who follows through on open items.
