Our client is looking for a Full-Time Administrative and Estimating Assistant to support their construction operations with estimating, accounting, subcontractor coordination, and day-to-day administrative tasks. They are an established construction company with over a decade of experience delivering residential and commercial projects, including renovations and complex rebuilds.
This position is ideal for someone who understands construction workflows, is comfortable working with numbers and project documentation, and takes initiative without needing constant direction.
The right candidate will be highly organized, dependable, proactive, and able to move tasks forward in a fast-paced environment.
Support estimating and pre-construction activities for upcoming projects.
Perform and assist with quantity takeoffs using construction drawings and project documentation.
Prepare and organize information needed for project estimates and proposals.
Assist with RFIs, project clarifications, and other pre-construction documentation.
Maintain accurate financial records and complete accounting-related tasks in Quick Books.
Create and process purchase orders, bills, and client invoices.
Track project-related expenses and maintain organized financial documentation.
Follow up with subcontractors regarding pricing, documentation, project information, and outstanding items.
Maintain organized project files, records, and administrative documentation.
Assist with construction scheduling and project coordination when needed.
Use Buildertrend to support project and construction administration.
Work with Bluebeam to review drawings, documents, and takeoff-related information.
Maintain spreadsheets, reports, and other project documentation using Microsoft Excel and Word.
Provide general administrative support across the company as priorities arise.
Proactively identify pending tasks and follow through until completion.
RequirementsPrevious experience in construction, estimating, pre-construction, construction administration, or a closely related role.
Experience supporting construction estimates and performing or assisting with takeoffs.
Familiarity with RFIs, project clarifications, purchase orders, bills, and invoices.
Hands-on experience with Buildertrend.
Proficiency with Quick Books.
Experience using Bluebeam for construction drawings, documentation, or takeoffs.
Strong working knowledge of Microsoft Excel and Word.
High level of written and spoken English.
Strong organizational skills and attention to detail.
Ability to manage several administrative and project-related responsibilities simultaneously.
Proactive, resourceful, and action-oriented approach to work.
Ability to work independently and complete responsibilities with minimal supervision.
Reliable follow-through and a strong sense of ownership.
QualificationsProfessional experience working with a general contractor, construction company, subcontractor, estimator, or construction project team is strongly preferred.
Understanding of construction terminology, drawings, estimating processes, and project documentation.
Comfortable communicating and following up directly with subcontractors and other project stakeholders.
Ability to work accurately with financial and project information.
Experience supporting both operational and administrative functions is highly valuable.
Knowledge of construction scheduling is preferred.
Experience supporting residential and/or commercial construction projects is a plus.
