Job Summary

The Billing & Account Coordinator oversees a portfolio of client matters for assigned attorneys, ensuring accounts are managed with both urgency and care. This client-facing role requires strong subject-matter expertise in billing, collections, and account management. The ideal candidate is a polished, confident communicator who takes ownership of tasks from start to finish, works efficiently, and makes sound decisions. Strong problem-solving skills and emotional intelligence are essential when addressing account issues and navigating difficult conversations with empathy, sound judgment, and respect.

The right candidate is proactive and detail-oriented, takes pride in maintaining accurate, audit-ready work, and contributes to a supportive, collaborative team while delivering consistently positive client experience.

Key Responsibilities
  • Manage a portfolio of client matters, ensuring accurate billing, collections, trust balances, and account activity while keeping accounts in good standing.
  • Monitor accounts to identify outstanding balances, upcoming financial needs, and potential issues, using sound judgment to determine appropriate next steps.
  • Partner closely with attorneys and paralegals to communicate account status, address retainer needs and resolve financial matters.
  • Proactively communicate with clients by phone, email, and text regarding billing, outstanding balances, payments, and account concerns with professionalism and empathy.
  • Take ownership of assigned tasks from start to finish, using sound judgment, problem-solving skills, and firm systems to work efficiently and accurately.
  • Maintain precise, audit-ready documentation and contribute to a collaborative team environment while maintaining confidentiality and providing a consistently positive client experience.
Qualifications
  • Experience in customer service, account management, collections, billing, client relations, or a similar client-facing role; prior law firm or professional services experience is a plus.
  • Excellent verbal and written communication skills, with confidence and experience communicating by phone, email, and text.
  • Strong emotional intelligence, interpersonal skills, and the ability to navigate sensitive or difficult conversations with professionalism, empathy, and sound judgment.
