From a brief to an event day
You will translate an approved brief into a working checklist and
timeline. That includes confirming who is responsible for materials,
venue access, supplier arrival, signage, guest communications, and the
run of show. You will keep one accurate version of key details, send
timely updates, and raise a gap before it becomes an event-day surprise.
When event day arrives, your focus shifts from the planning sheet to the
people and spaces in front of you. You will be supported by the event
lead while handling defined parts of the live operation.
- Brief assigned staff and check that signage, materials, and guest areas match the approved plan.
- Welcome vendors or guests as assigned and make sure arrival instructions reach the right contact.
- Record a change in timing or delivery and communicate it to everyone affected.
If a delivery is late, you will assess immediate options and take the
decision to the right lead. Afterward, you will collect attendance and
supplier notes, document outstanding invoices or issues, and support a
concise review of what worked.
Bring order without losing the energy
You should enjoy working with people, but also be willing to read a
detailed schedule and make the calls that keep it useful. Coursework,
campus events, hospitality shifts, community projects, or assistant
title is not required; evidence that you can manage multiple details and
stay composed in person is more important.
You will receive guidance on the team's planning templates, supplier
communication, and event-day escalation process. As you demonstrate
reliable preparation and judgment, you can own larger pieces of an
event. The role involves being present when events run, with working
hours tied to the approved event schedule.
